Event Logistics Coordinator & Operations Analyst

Lexington Catering is seeking a highly organized and detail-oriented Event Logistics Coordinator & Operations Analyst to join our team. As a key member of our operations team, you will be responsible for coordinating with stakeholders to organize and manage large events from inception to conclusion.

Key Responsibilities:

  • Manage client relationships and coordinate event logistics from start to finish.
  • Coordinate with various departments, including porters, H&S, front of house, cleaning, catering, AV, and engineering to ensure seamless event execution.
  • Implement systems, processes, and governance for events to ensure compliance and efficiency.
  • Process necessary permits and conduct due diligence to ensure event compliance.
  • Provide problem-solving and advice on catering and logistics alternatives for clients.
  • Ensure clients are fully aware of costs before confirming an event and prepare detailed quotes.
  • Maintain regular communication with the kitchen, front of house, and stakeholders to ensure event success.
  • Ensure all departments are aware of event budgets and deliver within those limits.
  • Communicate last-minute changes to relevant personnel promptly.
  • Verify correct recharging of all functions and resolve any outstanding issues.
  • Establish a separate billing system for events outside the normal hospitality scope.
  • Attend applicable events to ensure client satisfaction and monitor team efficiency.
  • Be present during events to identify training needs and suggest operational procedure changes.
  • Attend weekly Hospitality management meetings to provide updates.
  • Handle normal hospitality bookings and event business with resilience.

  • Excellent communication and interpersonal skills.
  • Ability to work effectively in a fast-paced environment.
  • Strong problem-solving and analytical skills.
  • Experience in event planning and coordination.
  • Knowledge of catering operations and logistics.
