We are seeking an organised and detail-oriented Course Coordinator to join our team at Brook Street NMR. The successful candidate will play a key role in ensuring the smooth delivery of courses by managing stock levels, course materials, and maintaining effective communication with both internal teams and course delegates.
Key Responsibilities:- Organise and manage the training stock room to ensure accurate inventory levels.
- Maintain adequate stock levels for all course materials and kits, ensuring timely delivery to delegates.
- Prepare and update course sheets to ensure accuracy and completeness.
- Invoice customers for courses and chase payments when necessary, maintaining a professional and courteous tone.
- Take payments over the phone, handling customer queries and concerns with professionalism.
- Coordinate with delegates and speakers to ensure smooth course delivery, including preparation and distribution of course materials.
- Ensure that all course materials are prepared and delivered on time, meeting the required standards.
- Collect and process course/training materials post-event, maintaining accurate records and reports.
- Respond to email enquiries in a timely manner, providing clear and concise information to customers.
- Liaise with the sales team and other departments as required, maintaining effective communication and collaboration.
- Handle and process customer complaints, resolving issues promptly and professionally.
- Answer customer enquiries and direct them to the appropriate department when needed, ensuring a positive experience for all customers.
- Proficiency in Microsoft Excel is essential for maintaining stock sheets, course data, and managing invoicing.
- Excellent organisational skills and attention to detail are required to ensure accurate and timely delivery of courses.
- Strong communication skills, both verbal and written, are necessary for effective communication with internal teams and course delegates.
- Ability to multitask and prioritise tasks effectively, managing multiple responsibilities and deadlines.
- Customer-focused with the ability to handle enquiries and complaints with professionalism and courtesy.
- Ability to work as part of a team and maintain good relationships across departments, promoting a positive and collaborative work environment.
- Experience in a similar administrative, customer service, or coordinator role is advantageous, but not essential.
