Job Summary

As a Receptionist at the University of Glasgow Pet Practice, you will be the first point of contact for clients and their pets. You will be responsible for carrying out a range of reception and administration duties to support the clinical, nursing, and administrative staff.

Main Responsibilities

1. Greet clients and their pets, explaining the hospital's policies and procedures while displaying empathy, tact, and diplomacy at all times.
2. Schedule appointments and deal with emergencies efficiently and professionally, ensuring that defined protocols are followed to ensure consistency of service.
3. Work a busy switchboard, transferring calls to the relevant person or department, making appointments over the phone, and obtaining relevant information for emergency referrals.
4. Process and handle cheques, cash, and credit cards in relation to client and insurance payments, ensuring that balances are settled as promptly as possible.
5. Complete insurance forms and maintain the insurance database.
6. Use initiative and judgment to resolve queries and problems independently with clients and/or insurance companies.
7. Assist in the training of new staff and trainee veterinary nurses with regards to both reception and insurance standard protocols.

Requirements

1. A1 SCQF level 4 or equivalent work-related experience.
2. Knowledge of Microsoft Office software.
3. Desirable: Knowledge of Veterinary/Medical terminology.
4. Essential skills: Accuracy and attention to detail, excellent IT, numeracy, and literacy skills, use of initiative and judgment to resolve problems independently, and the ability to prioritize a busy workload.
5. Excellent organizational skills and high standards of written and verbal communication skills.
6. Ability to work as part of a team.
7. Essential experience: Relevant experience in a similar customer-facing role, such as hospitality, retail, or call centre. Proven record of working in a fast-paced environment.
8. Desirable: Previous experience of working in a doctor, dentist, or veterinary surgery practice, experience with handling insurance claims, familiarity with working a busy switchboard, and cash handling experience.
