About the Role

We are seeking a highly organized and proactive Client Services Executive to join our Private Client and Tax Division. As a key member of our team, you will provide exceptional support to matter supervisors and their clients, ensuring seamless communication and service delivery.

Key Responsibilities
  • Assist matter supervisors in managing client relationships, including client and contact liaison, email, telephone, and other forms of communication.
  • Provide in-person engagement with clients, including attending meetings, telephone call handling, and fielding calls as required.
  • Act as a best practice role model to Client Services Specialists and Client Services Coordinators, providing in-office support and guidance to junior members of staff and mentoring Admin Assistants.
  • Ensure client service is maintained by dealing with tasks delegated by fee earners working with the matter supervisors on client matters.
  • Undertake confidential and management tasks as necessary.
  • Proactively support matter supervisors in their client practice and, where relevant, management tasks.
  • Arrange conference/video calls, ensuring all necessary delegation has been given to hosts.
  • Proactively manage inboxes, flagging or passing on urgent messages as appropriate, especially during matter supervisors' absences.
  • Proactively manage calendars, having regard to any appointment clashes, travel times, and differences in time zones.
  • Ensure e-files are kept up to date, with assistance from Client Services Specialists and Client Services Coordinators, including filing incoming post (digital mailroom).
  • Assess physical mail and documents, giving instructions relating to destruction or archiving.
  • Ensure the firm's client relationship management system (InterAction) is an effective business tool by updating it regularly with relevant activities, appointments, and changes of address, email, telephone numbers, ensuring duplication is avoided.
  • Collect and maintain client relationship data, accessing this data to support fee earners in catering for their clients' needs.
  • Work with the marketing team to provide partners and fee earners with access to client intelligence when undertaking targeted campaigns or events.
  • Collaborate with the marketing team to assist with marketing event coordination, organization, and management, as well as managing and helping to implement matter supervisors' Business Development plans.
  • Arrange travel and hotel booking with associated transfers and itineraries, including liaison with the firm's travel agent to ensure most cost-effective travel options are obtained.
  • Delegate and coordinate tasks to all appropriate resources, including guidance and coaching.
Requirements
  • Previous experience working in a law firm, with the ability to use your initiative to pick up unfamiliar work quickly and be proactive.
  • Advanced working knowledge of Microsoft Office packages (Word, Excel, Outlook, Teams).
