Job Description

Job Title: Financial Operations Assistant

Job Summary:

We are seeking a highly organized and detail-oriented Financial Operations Assistant to join our team at Ann Pettengell. The successful candidate will be responsible for providing administrative support to our finance department, ensuring the smooth operation of our financial systems and processes.

Key Responsibilities:

  • Financial Transactions: Process purchase invoices, maintain the purchase ledger system, and perform banking and bank reconciliation for our main bank account.
  • Financial Administration: Maintain the petty cash, carry out suspense account reconciliations, and perform basic payroll entry.
  • Financial Systems: Run the school's Direct Debit system, take fee payments via our credit card facility, and assist with billing as directed.
  • Financial Data Management: Archive finance data in accordance with data retention guidelines and provide administrative support for recruitment as needed.
  • Other Duties: Assist with the lettings process, book staff training courses, process staff expenses, administer employee benefits schemes, and collate, prepare, and submit accurate and timely monthly payroll and pension data.

Requirements:

  • Previous Experience: Previous experience in a busy finance department, preferably in an education setting.
  • Skills and Qualities: Excellent literacy and numeracy skills, substantial proficiency in the use of IT applications, particularly accounting systems and MS Excel, high levels of accuracy, attention to detail, and a commitment to delivering high-quality results.
  • Personal Qualities: A logical and proactive approach, the ability to prioritize for self and others, and excellent communication, interpersonal, and presentation skills.
