Position Overview

We are seeking a dedicated and proactive Quality Assurance Coordinator to join our Oncology & Haematology division. This role is essential in fostering a culture of quality and compliance within our organization.

The ideal candidate will be instrumental in assisting the Quality Team with the development and upkeep of a robust Quality Management System (QMS).

Key Responsibilities

The primary responsibilities include delivering comprehensive administrative and secretarial assistance to the Quality Office.

Responsibilities also encompass supporting Chemocare and Q Pulse initiatives within the division.

Additional duties involve contributing to health and safety protocols, risk management strategies, and data analysis efforts.

The role includes conducting internal quality audits and managing the annual audit schedule.

Job Duties

- Act as a deputy in the absence of the Quality and Deputy Quality Managers, serving as the primary contact for document control and quality system inquiries.

- Effectively communicate complex information to staff at all levels within the division and external stakeholders as necessary.

- Deliver information in a tactful and diplomatic manner, especially regarding compliance with standards and audit results.

- Oversee and manage the procedural audit program for the division's Quality Management System.

- Maintain an organized electronic and physical documentation system for the division.

- Supervise the patient feedback program, including outpatient surveys and formal complaints.

- Ensure accurate data entry into various databases and information systems, addressing any discrepancies promptly.

- Assist in monitoring, investigating, and reporting incidents and non-conformances.

- Provide training and guidance to staff on Quality Management System components, both individually and in group settings.

- Conduct risk assessments, identifying hazards and providing feedback to senior management and the Risk Management Group.

- Organize and participate in departmental meetings, taking minutes as required.

- Serve as a fire warden and conduct safety inspection audits.

- Perform impact screenings and comprehensive assessments on policy and procedure documents.

- Maintain the electronic Quality Management System software and oversee the distribution of Trust-wide registers.

- Provide general administrative support, including photocopying, handling correspondence, and managing inquiries.

- Ensure adequate levels of office supplies and manage inventory as needed.

- Adhere to organizational policies while contributing to service improvement initiatives.

Qualifications and Experience

Essential

  • Completion of an introductory course in ISO Quality Management Systems.
  • HNC/Diploma level education or equivalent knowledge and skills.
  • Advanced keyboard proficiency (RSA 3 or equivalent).
  • GCSE in English Language or equivalent.
  • GCSE in Mathematics or equivalent.
  • Completion of an audit training course.
  • Willingness to undertake intermediate/advanced Microsoft Excel training.

Desirable

  • Qualification in Quality Management Systems or relevant training.
  • Completion of risk assessment training.
  • Training in incident investigation.
  • Intermediate/advanced level Microsoft Excel proficiency.

Knowledge and Skills

Essential

  • Proficient in Microsoft Office applications.
  • Strong knowledge of Microsoft Excel for data analysis.
  • Understanding of ISO 9001:2015 Quality Management System principles.
  • Experience in database administration and report preparation.
  • Familiarity with various aspects of Quality Management Systems.
  • Ability to encourage compliance with Quality Management System standards.
  • Experience in conducting internal audits.
  • Background in training and supporting staff.

Desirable

  • Knowledge of PowerPoint for presentation creation.
  • Previous NHS experience.
  • Experience in risk assessments.
  • Background in incident monitoring and investigation.
  • Ability to perform complex data analysis.
  • Familiarity with NHS-related electronic applications and databases.
