Position Overview

We are seeking two part-time Healthcare Administration Specialists to join our dedicated team. Each position will require a commitment of 20 hours per week.

As a vital member of our Administration team, you will be responsible for delivering exceptional service to our patients.

The ideal candidate will possess strong motivation and a friendly demeanor, complemented by excellent interpersonal skills. You should thrive in a dynamic environment and enjoy collaborating with a team. Clear and effective communication is essential, demonstrating understanding, empathy, and assertiveness when necessary.

Prior experience in a healthcare setting and a solid grasp of Medical Terminology are crucial. You should be proactive and capable of working independently. Comprehensive in-house training and ongoing support will be provided.

Working Hours

20 hours per week, ideally distributed over three days.

Main Responsibilities

Your primary duties will include:

  • Providing general administrative support and secretarial assistance to Doctors, Nurse Practitioners, and occasionally to Practice Nurses and the General Manager.
  • Liaising with patients, hospital staff, consultants, and other external agencies as required.
  • Delivering efficient audio and copy typing services for various documents, including letters, reports, patient referrals, and meeting minutes.
  • Managing incoming and outgoing telephone communications, ensuring timely and appropriate interactions.
  • Maintaining workflow tasks and processing necessary documentation.
  • Generating referrals using the electronic referral system.
  • Handling patient and hospital queries professionally.
  • Participating in Health & Safety initiatives and adhering to company policies.

Qualifications

Essential:

  • Strong health and attendance record.
  • Good general education.
  • Excellent written and verbal communication skills.
  • Proficient record-keeping abilities.
  • Ability to prioritize workload effectively.
  • Understanding of confidentiality principles.
  • Proficient keyboard skills.
  • Familiarity with Medical Terminology.
  • Confidence to work independently.
  • Proactive approach and ability to work under own initiative.
  • Flexibility to cover for colleagues as needed.

Desirable:

  • Previous experience in a General Practice environment.
  • Experience with EMIS Web software.
