Position Overview:

The Student Attendance and Well-being Coordinator plays a crucial role in fostering a nurturing educational atmosphere at Galileo Global Education by meticulously overseeing attendance management. This position involves addressing the personal, social, and academic challenges that students encounter through effective attendance monitoring. The incumbent will take full responsibility for the attendance oversight process, ensuring adherence to the established Attendance policy, developing operational procedures for efficient task execution, and maintaining precise attendance records and reports.

Key Duties:

  • Track and monitor daily student attendance based on incoming reports and notifications, ensuring records are accurately maintained and updated.
  • Engage with students to discuss attendance-related concerns, provide guidance on best practices, update records, and facilitate immediate referrals for additional academic or pastoral support as necessary.
  • Identify and report students exhibiting poor or extended absences to the relevant Programme Leaders, Student & Academic Services Manager, Pastoral care team, and Visa Manager, following the outlined procedures in the attendance policy.
  • Collaborate with the Student & Academic Services Manager and other teams to develop, coordinate, and communicate a welfare reporting and tracking system to address student welfare and attendance issues.
  • Manage and document absence evidence submitted by students, updating the system with categorized absences and offering pastoral support related to their attendance.
  • Issue attendance concern notifications and engagement warning letters, ensuring accurate and up-to-date records of all communications.
  • Document meetings and interactions with students thoroughly, focusing on understanding their unique circumstances.
  • Provide weekly attendance and welfare reports to Programme Leaders, tracking relevant follow-up actions and ensuring they are informed of any measures taken, including details of concerns and warning letters issued.
  • Generate various management reports, including ad hoc requests such as attendance statistics, intervention outcomes, and welfare check-ins.
  • Proactively contribute to enhancing student attendance rates and the overall aspects of student welfare.
  • Assist the institution in implementing the Attendance and Engagement Policy while ensuring compliance with relevant student attendance regulations.
  • Perform additional duties as required, commensurate with the role.

Qualifications and Skills:

  • Bachelor's degree in education or a related field.
  • Certification in safeguarding young individuals.
  • Prior experience in a similar role within an educational setting.
  • Experience in providing advisory and/or pastoral support.
  • Proficient in IT skills, particularly in managing spreadsheets, data, and student record systems.
  • Ability to utilize data for generating reports and effectively analyzing results.
  • Excellent communication and interpersonal skills, demonstrating a commitment to high-quality service.
