The primary objective of this position is to support the Global Logistics Activities Manager in overseeing, controlling, and managing freight operations conducted by the Freight Logistics Team.

Key Responsibilities

  • Facilitate effective communication regarding freight logistics movements with both internal stakeholders and external partners.
  • Prepare necessary documentation such as packing lists, commercial invoices, and collection manifests for shipments.
  • Coordinate and apply for any specific licensing requirements based on destination.
  • Source quotes and provide recommendations for appropriate vendors and shipping methods when necessary.
  • Organize timely collection and delivery of shipments, whether local, national, or international, based on client priorities.
  • Provide import clearance instructions to logistics providers for all imports.
  • Possess knowledge of UK Import and Export Customs Regulations.
  • Maintain communication with warehouse personnel to ensure the availability of shipments for collection.
  • Monitor and track shipments, ensuring all relevant parties receive timely updates on shipment statuses.
  • Collect and archive proof of delivery documents for all shipments.
  • Issue pre-alerts for export shipments as required.
  • Assist and provide guidance to the business on freight logistics inquiries.
  • Maintain and update logistics registers and files.
  • Review import and export customs entries for accuracy and compliance, collaborating with freight providers and customs for necessary amendments.
  • Verify the accuracy of all Airwaybills and Bills of Lading for shipments.
  • Ensure timely completion of purchase requisitions and issuance of purchase orders to logistics providers.
  • Identify opportunities for cost savings and implement initiatives under the guidance of the Global Logistics Activities Manager.
  • Apply for Export Licenses when necessary, ensuring all documentation and communications are properly tracked and filed.
  • Conduct audits on import and export entries processed by third parties to ensure compliance with legal requirements.
  • Monitor the business Duty Deferment Account on the Government Gateway Portal.
  • Submit requests for duty deferment account uplift to the internal finance team as needed.
  • Reconcile monthly reports from relevant systems.
  • Support business teams with all aspects of importing and exporting goods, including domestic courier and road movements.
  • Assist client support teams in completing customs formalities for goods moving to and from the United Kingdom Continental Shelf (UKCS).
  • Help identify appropriate HS Codes from the UK trade tariff as required.
  • Complete time-writing for UKCS support actions within established guidelines.
  • Assist the Global Logistics Activities Manager in creating and updating all logistics forms, processes, and work instructions.
  • Perform additional administrative tasks to support the freight logistics process as directed by the Global Logistics Activities Manager.

Health, Safety, Environment, and Quality (HSEQ) Responsibilities

· It is essential for the incumbent to be familiar with the Company's HSEQ Policy and actively participate in the compliance and enhancement of the Integrated Management System. Any incidents, near misses, or potential issues with products, services, or systems must be reported to the Line Manager.

· The incumbent has legal responsibilities under health and safety legislation to adhere to all Company processes and procedures and to understand the emergency response arrangements applicable to their role. They are also responsible for the health and safety of any subordinates and visitors on Company premises.

Qualifications and Experience

· Previous experience in a dynamic freight logistics environment.

· Familiarity with Inco Terms.

· Understanding of the requirements for transporting equipment to and from the United Kingdom Continental Shelf (UKCS).

· Experience with dangerous goods in air and sea transport is advantageous.

· Knowledge of UK import and export regulations.

· Understanding of the UK Trade Tariff and HS Codes.

· Strong communication skills, both written and verbal.

· Proficient in IT systems, particularly Microsoft Excel and Word.

· Knowledge of logistics and regulatory requirements.

· Awareness of strategic and end-use export controls.

· Ability to work proactively and prioritize tasks with minimal supervision.

· Capacity to build and maintain relationships with customers and freight agents.

· High attention to detail and accuracy in documentation.
