Client Support Associate (Financial Planner Support)

Job Purpose

As a Financial Planning Support Associate, you will assist the Financial Planning Team in achieving its goals of acquiring new clients and delivering exceptional service.

Your responsibilities will include coordinating all workflow aspects from a client-facing perspective while aiding planners in establishing and maintaining effective client relationships.

Role & Responsibilities
  • Maintain accurate records and information on our management system to ensure work is logged, tracked, and internal records are updated.
  • Ensure files and records are organized according to internal standards for efficient access and retrieval.
  • Follow established processes by documenting activities in the back office system and providing clear instructions when delegating tasks to team members.
  • Set up new prospects and opportunities in our CRM system, ensuring timely and accurate information input.
  • Coordinate client meetings, prepare agendas, and complete necessary preparatory work, including technical research and fund performance analysis.
Post Client Meetings:
  • Distribute meeting notes, liaise with clients regarding paperwork, and complete follow-up actions as necessary.
  • Prepare and send engagement documentation.
  • Ensure annual review records are kept up to date.

Ensure the accurate submission of all new applications in compliance with internal and regulatory standards through effective communication, workflow management, and record-keeping.

Maintain precise data on Funds Under Management.

Keep current information on the pipeline and monitor all cases through to completion to track expected income.

Skills, Knowledge, and Experience
  • Experience in the Financial Advice sector or IFA industry.
  • Exceptional verbal and written communication skills.
  • Strong IT proficiency.
  • Able to meet deadlines.
  • Capable of working within defined business processes.
  • Adaptable to changing demands and priorities.
  • Proactively seeks opportunities for personal skill development.
