Job Title: Process Excellence Manager - Publishing
Location(s): Hybrid Working Model
About the Role
The Publishing Performance and Intelligence Group (PP&I) aims to enhance digital publishing at Springer Nature, particularly increasing the volume of published articles in open access (OA). Collaborating closely with various departments, including Journals, Production, IT, Marketing, and Customer Service, PP&I supports initiatives to improve article transfers between journals, commission new collections, uphold research integrity, engage editors, and refine the overall journal publishing workflow.
The Centre of Excellence (CoE) team within PP&I drives continuous enhancement in PP&I and Journal Publishing teams, working with stakeholders to achieve strategic objectives. We initiate and manage several tactical and strategic projects aimed at delivering specific business outcomes. Our team comprises professionals who implement best practices in Project Management, Business Analysis, Continuous Improvement, and Change Management.
As a member of the CoE team, the Process Excellence Manager will play a vital role in executing projects across the Research Publishing Business Unit, focusing on improving efficiency and effectiveness in workflow-related areas. This position involves collaboration with key stakeholders from SN journals and PP&I, as well as Operations, Technology, Customer Services, Research Sales & Marketing, Finance, and others to align, plan, and enhance the end-to-end publishing process. You will ensure that all stakeholders are updated on project developments and workflow modifications while coordinating stakeholder engagement as necessary.
The Process Excellence Manager will develop a comprehensive understanding of a specific publishing domain, aiming to become a trusted partner, providing support and consulting on initiatives that reflect strategic priorities. Ultimately, this role will own and manage a selection of projects associated with the publishing domain.
Role Responsibilities:
- Grasp the strategic objectives of the assigned business area and contribute to achieving them by coordinating the project portfolio related to that publishing area.
- For business needs that cannot be resolved internally and are of tactical or strategic significance, analyze the actual problem, map relevant processes and data, identify inefficiencies and errors, pinpoint improvement opportunities, gather and prioritize requirements, define the improved future state, and propose solution options for implementation.
- Capture and validate publishing requirements from internal stakeholders, translating them into prioritized functional, non-functional, integration, and transitional requirements that align with SN's business strategy.
- Perform request-specific tasks such as producing/updating documentation and reports, consolidating or analyzing data, ensuring data consistency and integrity, unifying workflows, enhancing workflow automation solutions, implementing regulatory/compliance requirements, writing test scripts, and providing training on new processes/solutions.
- Collaborate with Technology colleagues and/or external technology partners to support the delivery of technological solutions in activities such as writing and validating user stories/use cases, product roadmapping, testing, training, and rollout.
- Coordinate project execution with relevant stakeholders for tactical/operational initiatives.
- Contribute to business case/project initiation documentation, ensuring outcomes align with SN's business strategies and promoting adherence throughout the project lifecycle.
- Work with Technology colleagues to engage with technology partners during the software selection process, ensuring business requirements are met and facilitating the review of contractual terms and conditions to protect SN's interests.
- Identify risks and issues, communicate them clearly to project management teams, and actively participate in their mitigation.
- Engage editorial, marketing, and production teams as necessary to adopt new workflows and processes associated with transitioning journals onto platforms and systems.
- Build strong working relationships with key stakeholders in other internal divisions that control and/or develop the processes and systems we rely on, including the Journal Editorial Office, Production and Emerging Technology team, Content Acquisition team, and Product and Platform Group (PPG).
- Contribute to change management planning and execution, actively participating in the successful adoption of change processes, products, and technologies within the organization. Advocate for robust change management across all activities.
- Measure project success by establishing key performance indicators (KPIs), analyzing data, and ensuring that delivered solutions align with business objectives, maximizing the value derived from initiatives undertaken.
- Serve as a key CoE spokesperson for managed initiatives, effectively communicating objectives to the wider business.
- Assist in managing the demand pipeline, conducting demand assessments, and positioning demands within the prioritization framework. Contribute to an overall project status tracker for all CoE activities.
- Actively support CoE Heads in promoting excellent teamwork and cross-collaboration.
Experience, Skills & Qualifications:
- Strong understanding of the research publishing landscape and the role of journals and journal publishers in serving the research community.
- Familiarity with core brand values of Springer, Nature, and other key brands within the Research Publishing business.
- Previous experience in process optimization, continuous improvement, process excellence, or business analysis.
- Comprehensive understanding of the workflows and processes involved in the submission-to-publication journey.
- Proven experience in best practice project and program management through contributions to several strategically impactful projects.
- Experience in successfully transitioning new technologies and workflows in a commercial setting.
- Negotiation experience, successfully integrating customer and operational requirements.
- Familiarity with change management concepts and techniques.
- Willingness, flexibility, creativity, and ambition to enhance processes and workflows.
- Demonstrated analytical and logical thinking, with the ability to articulate complex concepts clearly and concisely.
- Ability to inspire confidence and maintain professionalism in all interactions with colleagues and external partners.
- Excellent interpersonal skills and effective communication with a diverse range of colleagues and stakeholders.
- Strong time-management and organizational abilities.
- Familiarity with corporate IT infrastructure and system architecture.
- Yellow-belt Lean certification or Business Analysis certification is essential.
- Degree: minimum of BSc level or higher (preferably in a Business or Information Sciences discipline) or significant relevant experience.
- Project Management certification (such as PRINCE 2, MSP, PPM, Scrum, or any Agile methodology) is desirable.
- Business Relationship Management certification is desirable.
