Job Duties
The Administrator will deliver a full range of secretarial and administrative services, engaging daily with a variety of staff members and maintaining regular contact with service users and their caregivers, who may occasionally be in distress. The Administrator will ensure the office environment operates effectively for the team.

- Maintaining cleanliness and organization in your workspace and promptly reporting any hazards.
- Notifying the appropriate personnel of any hazards identified outside your immediate area.
Administrative Duties
To ensure all administrative systems function efficiently by:
- Providing administrative support for your designated area.
- Processing incoming referrals, both paper and electronic.
- Implementing a booking system for client appointments.
- Updating practitioners' calendars as necessary.
- Coordinating interpreter services for clients.
- Adhering to Sussex Partnership NHS Foundation Trust policies and procedures.
- Supplying necessary data from your area on a weekly basis.
- Covering the general inquiry line as needed.
- Interacting sensitively with individuals in person and over the phone, taking accurate messages and ensuring follow-up actions are completed.
- Providing regular monitoring and reporting statistics as required.
- Preparing, printing, and distributing standard forms and documents as needed.
- Performing miscellaneous tasks such as photocopying and filing as necessary.
- Assisting in the onboarding and training of new staff members.
- Providing coverage for other administrative roles as needed.
- Participating in mandatory supervision and appraisals.
- Liaising with external organizations.
- Acting as a point of contact for team members during office hours, responding appropriately in emergencies by gathering relevant information and coordinating with involved parties.
Reception Duties
To deliver a courteous and efficient reception and telephone service to both internal and external clients by:
- Welcoming and assisting visitors, including staff, service users, and contractors.
- Directing clients to the appropriate contact point.
- Assisting with room allocation and bookings.
- Ensuring the reception area remains tidy and welcoming.
Qualifications
Essential
- NVQ Level 3 or equivalent.
- RSA Level 3 or equivalent experience with evidence of further practical experience.
- A good standard of secondary education; GCSE at Grade C or above or equivalent.
Knowledge and Experience
Essential
- Proven experience in a variety of secretarial procedures.
- Experience in producing high-quality documents with accuracy.
- Familiarity with maintaining office systems.
- Experience working collaboratively within a team.
