Overview:
Our client, a reputable law firm with a strong presence across Yorkshire, is seeking to appoint a Floating Legal Secretary to enhance their Administration Department.

Key Responsibilities:
  • Delivering essential daily support to assigned lawyers, teams, departments, or offices.
  • Providing comprehensive administrative and secretarial assistance to designated legal professionals and offering support as needed within the department.
  • Managing all incoming phone communications promptly and courteously; welcoming and assisting visitors to the firm in a friendly and professional manner, thereby reflecting the firm's image and values.
  • Executing general secretarial tasks, including typing, filing, preparing and distributing correspondence, scheduling meetings, managing calendars, and addressing general inquiries.
  • Assisting designated lawyers in managing client expectations and ensuring the effective delivery of legal services.
  • Communicating with clients via telephone and in person.
  • Offering general secretarial support to assigned lawyers and the department as required.
  • Demonstrating flexibility to work beyond standard hours when necessary due to workload demands.
  • Effectively managing all visitors to the office.
  • Coordinating the booking of meeting rooms within the office.
  • Maintaining the tidiness of the reception area and meeting rooms; ensuring rooms are equipped with necessary supplies and are cleared post-meeting.
  • Assisting in the provision of catering and refreshments as needed.
  • Undertaking additional duties and projects as assigned.

Required Skills:
  • Proficient typing and audio skills.
  • Familiarity with Microsoft Word and Microsoft Outlook.
  • Excellent telephone etiquette.
  • Professional appearance.
  • Strong organizational and communication abilities.
  • Capability to work independently.
  • Ability to handle confidential information with professionalism and discretion.
  • Exhibiting tact and assurance in all interactions.
