Purchase Ledger Clerk Job Description

We are seeking a highly organized and detail-oriented Purchase Ledger Clerk to join our team at Hays Specialist Recruitment. As a Purchase Ledger Clerk, you will be responsible for processing invoices, managing accounts payable, and maintaining accurate financial records.

Key Responsibilities:
  • Process all invoices and goods received notes, ensuring accurate matching to purchase orders.
  • Organize the sign-off process for all invoices by managers, ensuring timely payment.
  • Coding and data entry of invoices onto the purchase ledger system, maintaining accurate records.
  • Answer and deal with all purchase ledger enquiries, providing excellent customer service.
  • Reconcile all creditor statements on a monthly basis, ensuring accuracy and compliance.
  • Set up BACS/faster payment runs and individual payments to the purchase ledger, allocating payments to invoices.
  • Pay for transactions using a Visa card, recording transactions and maintaining receipts.
  • Assist with procurement admin, including entering purchase orders on the system and resolving queries.
  • Provide cover for reception during holiday/sickness, ensuring seamless operations.
  • Order stationery and office supplies, maintaining a well-stocked office.
Requirements:
  • Experience in a construction or MEP environment, with a strong understanding of financial processes.
  • Proficiency in Microsoft Office, especially Excel, with excellent analytical skills.
  • Excellent written and verbal communication skills, with the ability to work effectively with colleagues and clients.
  • Desirable but not essential: degree in business/finance or equivalent relevant qualifications, previous experience with an ERP software package.
