Key Responsibilities

  • Serve as the primary point of contact for students, staff, parents, and visitors, ensuring effective communication.
  • Implement and uphold security and safeguarding measures for all visitors.
  • Maintain a clean and inviting reception area.
  • Support the overall organization of the college environment.
  • Manage and update inventory for college assets, including technology and musical instruments.

Administrative Duties

  • Provide comprehensive administrative support to enhance the college's operational efficiency.
  • Assist the Head of College and CEO with various administrative tasks.
  • Support recruitment processes for new staff members.
  • Ensure that college documentation is current and accessible.
  • Conduct daily communications with students and parents regarding attendance.
  • Help manage the college's scheduling and calendar.
  • Facilitate the organization of college excursions, including risk assessments and parental consent.
  • Collect and record essential data, such as attendance statistics.
  • Assist in the preparation of data submissions and reports.
  • Document and distribute minutes from staff meetings as necessary.
  • Coordinate appointments and meetings for the Head of College and CEO.

  • Follow established procedures for managing student absences and report any issues to the Head of College.
  • Communicate with parents as needed, particularly in cases of student illness.
  • Stay informed about the college's events to address inquiries effectively.
  • Ensure confidentiality in all communications with parents and visitors.
  • Foster effective communication between the office and the broader college community.
  • Engage positively with students to build strong professional relationships.

Qualifications:

Essential: GCSEs in English and Mathematics at grade C/4 or above.

Experience and Skills:

Essential Experience: Background in administrative roles with experience in handling confidential information.

Essential Skills: Proficient in using Google applications and data entry.

Desirable Experience: Experience in educational settings, managing complaints, and interacting with students and parents.

Desirable Skills: Familiarity with calendar management systems.

Knowledge:

Essential: Understanding of statutory requirements related to safeguarding, equality, health and safety, fire safety, and data protection.

Desirable: Knowledge of educational policies and procedures.
