We are seeking a highly organized and detail-oriented Operations Assistant to join our team at Reed. As an Operations Assistant, you will play a crucial role in ensuring the smooth operation of our logistics and shipping processes.
Key Responsibilities:- Customer Service: Deliver exceptional customer service to our on-site customers, responding to their queries and resolving any issues in a timely and professional manner.
- Shipping and Logistics: Prepare shipping and transport quotations, book dispatches with hauliers, forwarders, dispatch depots, and shipping lines, and create invoices, packing lists, and other related export documentation.
- Administrative Tasks: Enter bookings into our bespoke shipment software, manage specific projects, expedite shipments, process supplier and customer invoices, and ensure costs are correct on the software.
- Communication: Answer telephone calls, expedite orders and shipments, and deal with inter-company and external queries in a professional and courteous manner.
- Reporting and Escalation: Report and escalate any issues to the Manager as required, ensuring that all problems are resolved in a timely and efficient manner.
- Education: Good educational background, preferably in a relevant field such as logistics, transportation, or business administration.
- Knowledge and Experience: Knowledge of shipping methods and terminology, understanding of a logistics business and Incoterms 2020, and experience in an Operations Assistant role within a freight forwarding environment.
- Skills: Intermediate experience of MS Office programs, proven customer service experience, excellent numeracy, communication, and interpersonal skills, high level of accuracy and attention to detail, and strong administration skills and teamwork ethic.
- Transportation Knowledge: Experience of all modes of transport, export and import, and knowledge of customs procedures.
- Time Management: Strong time management skills and ability to stick to deadlines.
- Problem-Solving: Tenacity and problem-solving skills, with the ability to plan and prioritize workload.
- Relationship Building: Ability to build relationships with suppliers and customers, and maintain a professional attitude and telephone manner.
