The Operations Support Lead plays a crucial role in the daily functioning of the administrative team, ensuring that all written protocols, processes, and reference guides are up-to-date and efficient.
This position involves managing a team that provides administrative support to the Audiology department, including answering calls, checking in patients, responding to queries, and assisting with medically related questionnaires.
The Operations Support Lead will oversee the processing of incoming referrals, waiting lists, and appointment bookings, as well as communicate with patients, healthcare providers, and other departments within the hospital.
This is a full-time position that requires working 5 days a week, with the option to work occasional Saturdays to cover staff shortages.
Main Responsibilities- Ensure effective communication and timely response to all incoming queries and internal requests.
- Monitor waiting lists and document and cascade new/updated protocols, processes, and reference guides to the team.
- Oversee the smooth running of reception duties across two hospital sites and the call center service.
- Work on-site at all times, with the option to work from home one day a week once fully competent.

- Oversee waiting lists and report on current waiting times and issues, supporting the Operations Support Manager to plan an efficient service.
- Update all operations support department documents, including protocols, reference guides, handbooks, policies, posters, handouts, etc.
- Improve access to the service from the patient perspective, demonstrating a simplification of processes from the patient's view.
- Conduct appraisals and deal with performance management issues, escalating concerns and seeking guidance when necessary.
- Ensure measurable outcomes that demonstrate the operations support team is meeting its purpose.
- Provide cover for operations support administrators when required to ensure service continuity and support the operations support team in any office duty required.
- Ensure reception duties are carried out appropriately across two hospital sites.
- Monitor requests, queries, and complaints from patients and analyze with the Operations Support Manager whether changes to patient processes can help minimize difficulties.
- Oversee the booking of foreign and BSL interpreters when required for patients' appointments.
- Responsible for training new patient support team members.
- Liaise with the scheduling team to ensure clinic needs are met in a timely manner.
