About the Role:

As a Project Support Administrator, you will be instrumental in facilitating the efficient functioning of the Project Management Office (PMO) and the change delivery team. Your key responsibilities will encompass:

  • Timely responses to communications directed to the central PMO inboxes.
  • Maintaining a comprehensive tracker to log new change requests, purchase orders, invoices, and the status of ongoing projects.
  • Consistently monitoring the advancement of projects, change requests, and purchase orders.
  • Coordinating meetings through Outlook calendars and preparing meeting agendas.
  • Accurately documenting and typing meeting minutes and action items.
  • Establishing and sustaining filing systems in SharePoint to ensure efficient storage of all project documentation.
  • Sending reminders to team members and colleagues to guarantee the timely completion of essential tasks, such as timesheet submissions and project reporting.
  • Providing administrative assistance to significant projects and programs to ensure seamless operations and documented governance activities.

Essential Knowledge, Experience, and Skills:

  • Exceptional organisational abilities with a confident approach to prioritising tasks based on risk, urgency, and significance.
  • Advanced proficiency in MS Excel, including database design and data manipulation using pivot tables and formulas.
  • Strong command of MS Outlook, Word, Excel, and PowerPoint.
  • Meticulous attention to detail and a commitment to delivering high-quality outputs aligned with corporate branding standards.
  • Calm, approachable demeanor with the ability to cultivate positive relationships with team members and stakeholders.
  • Collaborative team player with the capability to assist colleagues as needed.
  • Ability to perform under pressure within deadlines and maintain a positive outlook on challenges.

Desirable Knowledge, Experience, and Skills:

  • Familiarity with or prior experience in a project-oriented environment is advantageous but not mandatory.

Education and Qualifications:

  • GCSE Grade C in Maths and English or equivalent.
