Job Summary

We are seeking a highly motivated and organized individual to join our Pharmacy team as a Pharmacy Services Administrator. This role will provide comprehensive administration and secretarial support to the Chief Pharmacist and pharmacy team, as well as perform general administrative and invoice support to the department.

Key Responsibilities
  • Provide administrative support to the Chief Pharmacist and pharmacy team, including maintaining diaries, arranging meetings, and taking formal minutes.
  • Manage the organization of key meetings, prepare agendas, and support the production of documents.
  • Assist in the issue of FP10 prescription stationery to prescribers in wards and community teams, following agreed procedures.
  • Establish and implement efficient and effective administrative procedures to support delivery of pharmacy services.
  • Provide and receive routine and complicated information, including dealing with enquiries from external stakeholders and the public.
  • Support an efficient pharmacy procurement process, including the raising of invoices/purchase orders for designated items in line with department SOPs.
  • Prepare and present reports and a range of complex information in a range of formats, including the production of KPIs, Excel data, performance reports, and ad-hoc reports.
Requirements
  • Excellent communication skills, both written and verbal.
  • Ability to engage with a wide range of stakeholders, including external agencies, sometimes requiring tact and persuasive skills.
  • Highly motivated, flexible, and multi-skilled individual with excellent organizational skills.
  • Excellent working knowledge of all Microsoft Office systems, including Word and Excel.
  • Ability to work without direct supervision and manage own workload.
Working Environment

This role will be based at the pharmacy hub in Calne, working as part of a multi-disciplinary team to deliver high-quality pharmacy services.
