Overview
The Retail Operations Specialist plays a crucial role in assisting the Retail Operations Lead by developing seasonal and weekly communications, policies, guidelines, and initiatives to enhance the retail channel. This role encompasses the management of various operational functions, collaborating with multiple departments to ensure streamlined and effective processes. The Retail Operations Specialist will oversee daily responsibilities, including event coordination and resource management. Strong time management skills, the ability to prioritize tasks, and teamwork are essential for success in this position. Excellent interpersonal skills are necessary to foster robust relationships with colleagues.

Key Responsibilities
  • Assist the Retail Operations Lead in compiling necessary documentation for distribution to retail locations.
  • Handle inquiries via phone and email, addressing questions from retail staff.
  • Ensure adherence to legal, regulatory, and organizational standards.
  • Support the execution of seasonal events for the field team, including conference calls.
  • Maintain and enhance the central shared drive filing system, collaborating with IT to implement efficient and effective solutions while updating policy and best practice documentation.
  • Serve as a primary contact point at the Head Office for retail operations-related information.
  • Assist the Retail Operations Manager in ensuring timely and accurate completion of all legal and compliance audit documentation.

Required Skills and Experience
  • Strong written and verbal communication skills across various departments.
  • Exceptional customer service abilities for both retail locations and Head Office functions.
  • Proficient in administration, organization, and time management.
  • Ability to work independently and prioritize tasks effectively.

Competencies
  • Comprehensive knowledge of Microsoft Office Suite, including Outlook, Excel, Word, and PowerPoint.
  • Solid understanding of retail operations processes and procedures.
  • Familiarity with budget management.
  • Willingness to learn and adapt.
  • Strong administrative capabilities.

Key Contacts and Relationships
  • Store Managers and their teams.
  • Head Office functions such as HR, property, IT, and data management.
  • Collaboration with suppliers for data, information, consumables, and event management.

Accountability for Resources
  • Management of shared filing and documentation.
  • Maintenance of an accurate audit trail of information and store databases.
  • Support the Retail Operations Manager in managing centrally controlled costs.
