We are seeking a highly organized and detail-oriented Administrative Coordinator to provide top-level support to our Associate Vice President. As an Executive Support Specialist, you will be responsible for scheduling meetings, preparing agendas, and managing minutes. You will also provide reception support, including taking calls and greeting guests.
Key Responsibilities:
- Schedule and arrange logistics for meetings, including Board meetings, Trustees meetings, and Committee meetings
- Prepare meeting agendas, manage minutes, and identify items for upcoming meetings
- Advise and recommend the Associate Vice President's schedule
- Provide reception support, including taking calls and greeting guests
- Assist the AVP in monitoring the HR management platform
- Arrange travel and hotel bookings for the AVP Administration
- Complete exit surveys for student groups and provide a follow-up action plan
- Provide secretarial support to the AVP as needed
- Distribute and collate Scholarship Trust applications
- Manage office supplies and distribute post
- Act as the fire safety officer and arrange for fire drills
- Meet and greet visitors, providing an overview of the University
- Collate data and create reports on an ad hoc basis
Requirements:
- Experience as a PA or Executive Assistant providing top-level assistance
- Experience in managing multiple priorities, administrative coordination, and logistics
- Well-organized, detail-oriented, and able to multi-task with great follow-up skills
- Strong written and verbal communication skills
- Proficient in Microsoft Office suite
- Proactive and able to work on your own initiative
- Comfortable working in an agile way with flexibility to take on new tasks
- Enjoy autonomy and responsibility and act professionally
