We are seeking a qualified individual to: oversee and manage the maintenance and operation of the facilities; ensure that all aspects related to our diverse range of events and activities comply with Health and Safety, Fire Safety, and other legal standards, along with relevant policies and regulations; and effectively deliver our organizational vision through all facets of the role.


Your responsibilities will include:
To ensure the efficient operation and upkeep of the facilities
To assist the Administration Coordinator with program scheduling and rental agreements
To aid the Administration Coordinator in managing daily financial systems, including cash flow and annual budgets related to rentals, maintenance, utilities, and IT
To guarantee the facilities' adherence to Health and Safety and Fire Safety regulations, ensuring that the pertinent policies and procedures are regularly updated
To coordinate and document risk assessments for the facilities and associated activities
To support the setup of facilities for both internal and external events, including logistics and audio-visual arrangements
To ensure that all annual maintenance, utility, and insurance contracts, along with necessary periodic services, are organized and executed
To review completed work by maintenance contractors
To lead the implementation of the building's Eco-Audit recommendations
To serve as one of the Fire Marshalls for the facilities
To facilitate and document regular meetings with the Buildings Committee, collaborating with relevant stakeholders to identify building work programs and support development plans
To communicate with relevant parties regarding the program of building works and maintenance
To oversee the recommendations from inspection reports related to the maintenance and development of the facilities and assist in their implementation
To contribute to the development of funding proposals relevant to the facilities and manage necessary reporting obligations
To act as the primary key holder responsible for security and access matters, including some out-of-hours responsibilities
To prepare and manage a budget for maintenance, caretaking, and rentals
To provide basic IT support and manage the organization's IT service contracts
To prepare maintenance and rental reports for Trustee meetings
To cooperate with Trustees, staff, and volunteers on the vision and strategic development of the facilities

To undertake any other duties as agreed that are essential for achieving the aims and objectives and future development of the organization.


Please note that this position is subject to a clear background check and may require some unsocial hours.


The successful candidate will be expected to work primarily on specified weekdays, including one evening shift.
