Job Description

Job Title: Administrator and Data Coordinator

Job Summary:

We are seeking an experienced Administrator and Data Coordinator to join our team at University Hospitals Sussex NHS Foundation Trust. The successful candidate will be responsible for coordinating, supervising, and maintaining robust data collection and validation mechanisms, including the National Respiratory Audit Programme (NRAP).

Key Responsibilities:

  1. Coordinate and supervise the efficient collection and data entry onto the database for the asthma MDT and key performance indicators.
  2. Locate and ensure accuracy of missing data, working with Asthma nurses and the wider MDT team.
  3. Analyse and report data as required, obtaining data from various sources and completing NRAP.
  4. Provide timely and accurate information to other staff.
  5. Ensure the production of reports and analysis when required.
  6. Liaise with other departments as necessary.
  7. Provide administrative facilitation of team meetings, including preparing, organizing, and circulating agendas, minutes of previous meetings, and recording the outcome of MDT meetings.
  8. Ensure colleagues can join meetings via electronic conferencing as required.
  9. Collate relevant documentation for team meetings, including patient notes, investigation results, and clinic letters.
  10. Take minutes and record attendance at team meetings accurately and circulate appropriately.
  11. Provide general administrative duties to the multidisciplinary team, including typing letters, photocopying, filing, basic clerical duties, and distributing documents quickly and efficiently.
  12. Provide clinic coordination support to the asthma team, maintaining clinics on Careflow, managing outcomes, and future appointments.
  13. Support the asthma nursing team with general administrative duties and be the point of contact and support.
  14. Take and relay messages clearly and accurately from other healthcare professionals and patients/parents/guardians.
  15. Manage a full clerical administrative and secretarial service to the Consultants and members of the clinic teams.
  16. Use tact, diplomacy, reassurance, and discretion to exchange verbal and written information with parents/carers/guardians, medical staff, allied healthcare professionals, and departments regarding future management.
  17. Assess the nature and urgency of all telephone calls, taking detailed messages, and ensuring that the information is passed to the relevant personnel and dealt with at the earliest opportunity.
  18. Use the UH Sussex Trust Patient Administration System (Careflow) for the retrieval/tracking of patient information/medical records.
  19. Provide a complete secretarial service, transcribing author dictation using a digital dictation voice recognition system.
  20. Undertake filing, sending, and receiving emails, and composition of letters as required.
  21. Be efficient in the use of email, word, and excel.
  22. Use the Trust and departmental database, for which training will be given.
  23. Comply explicitly with the Trust policies and procedures.
