Band 3 Administrative Support for Vascular Surgery

Job Overview
We are seeking a Band 3 Administrative Support professional to join our dedicated secretarial team within the Vascular department. This role offers a unique opportunity to contribute to a dynamic and fast-paced environment, supporting one of the largest NHS Trusts in the UK.
This position involves collaborating closely with the administrative team to facilitate the efficient operation of a busy surgical specialty. We are looking for an individual with a proactive attitude who is ready to embrace the challenges and rewards of this role.
The ideal candidate will possess exceptional written and verbal communication skills, demonstrating strong organizational abilities and the capacity to work both independently and as part of a cohesive team in a bustling office setting.
The successful applicant will be tasked with digital and audio transcription of clinical correspondence, as well as assisting in the collection and entry of data for local and national clinical audits.
Proficiency in various Microsoft Office applications (such as Word, Excel, and Outlook) is essential, while prior experience within the NHS is advantageous.
Key Responsibilities
The postholder will deliver comprehensive support to the Vascular Surgery department, which includes but is not limited to:
- Data entry and validation
- Managing referrals and phone communications
- Email correspondence and clinical letter typing
- General office administration tasks
Attention to detail is crucial, as the candidate will need to work efficiently under pressure to meet both local and national targets.
As part of the secretarial service, the role requires touch typing from audio dictation, necessitating a solid understanding of medical terminology. Additionally, support in the collection and validation of surgical and postoperative data will be required, along with assistance in submitting national data to relevant authorities.
Given the sensitive nature of the information handled, it is imperative that the candidate understands the importance of confidentiality when managing personal data.
The role will involve utilizing various computer systems, including Microsoft Office and internal hospital software, with comprehensive training provided to ensure proficiency.
