Bid Solutions is looking for a Proposal Coordinator to enhance our team. In this role, you will collaborate with the Head of Submissions and Bid Managers to facilitate the creation and assembly of Pre-Qualification Questionnaires (PQQ) and Tender submissions, ensuring adherence to established timelines.

Key Responsibilities:

  • Oversee PQQs based on the complexity and experience level of the bid, providing assistance from team members as needed.
  • Ensure adherence to the processes and protocols for winning work, managing submissions and bid-related documentation effectively.
  • Assist in organizing briefings and progress meetings, maintaining accurate records of actions agreed upon for each bid.
  • Draft non-technical written responses for submissions, including references, case studies, CVs, and project experiences.
  • Support contributors in developing content and responses, ensuring that all questions are thoroughly addressed.
  • Coordinate inputs from contributors, ensuring they are aware of deadlines and following up as necessary.
  • Organize and compile documents and supporting materials for each proposal, ensuring high-quality information is presented.
  • Provide updates to the Head of Submissions and Bid Managers regarding the progress of information coordination and collation.
  • Prepare the final submission package and collaborate with the team to ensure timely delivery to the client.
  • Coordinate the production of the final submission in collaboration with submission team members, ensuring on-time delivery via the appropriate channels.
  • Maintain the document management system, ensuring a comprehensive record of submissions is available for future reference.
  • Assist with administrative tasks related to document control.

Required Skills / Experience:

  • A minimum of two years' experience in a bidding or related environment.
  • Strong organizational skills, attention to detail, and the ability to manage multiple tasks effectively.
  • Demonstrated experience in the bidding process or a similar field.
  • Experience in creating and managing graphic content for submission documents, proficient in relevant software such as Microsoft Office and Adobe.
  • IT proficiency, particularly with MS Office applications, especially Word.
  • Exceptional communication skills with the ability to foster strong relationships both internally and externally.
