We are seeking a highly organized and detail-oriented Bid Coordinator to join our team at Bid Solutions. As a Bid Coordinator, you will play a crucial role in the preparation and production of PQQ and Tender submissions.
Key Responsibilities:
- Manage PQQs and Tender submissions, ensuring timely completion and compliance with work-winning processes and procedures.
- Support the Head of Submissions and Bid Managers in the coordination and collation of information, including references, case studies, and project experience.
- Initiate and produce non-technical written responses for submissions, including CVs and project experience.
- Assess and ensure that questions are being answered, and provide feedback to the Head of Submissions and Bid Managers.
- Manage inputs from contributors, ensuring deadlines are met and chasing where necessary.
- Maintain, organize, and collate documents and supporting information for each proposal, ensuring high-quality information.
- Provide progress updates to the Head of Submissions and Bid Managers, ensuring the bid is delivered on time.
- Produce the final submission in liaison with submission team members, ensuring timely delivery to the client.
- Maintain a document management system, ensuring a complete record of the submission is maintained for future review or scrutiny.
Required Skills / Experience:
- Over two years' experience in working in a bidding or similar environment.
- Strong administration skills, with good attention to detail and the ability to multi-task.
- Previous experience of working within the bidding or similar process.
- Experience in creating and handling graphic images for inclusion in submission documents.
- IT literacy and confidence, with experience of MS Office software, particularly Word.
- Excellent communication skills and the ability to build strong relationships internally and externally.
