As an Office Support Coordinator, your primary responsibility will be to provide administrative assistance to the Administration team and various support functions throughout the organization. Key Responsibilities:
- Compile, produce, and distribute business communications
- Attend meetings, prepare documentation, take minutes, and circulate action items
- Prepare meeting packs for regular monthly gatherings
- Ensure the company Intranet is updated for various departments
- Assist with arrangements for social and charity events
- Coordinate with landlords and contractors regarding maintenance issues and follow up to ensure resolution
- Generate purchase orders as needed for the organization
- Maintain contact lists for company contractors
- Keep organizational charts updated
- Source and reserve meeting rooms as required
- Review invoices for hotels, couriers, stationery, etc.
- Complete reconciliation and coding of company credit card transactions
- Keep holiday and meeting schedules current
