About the Role

We are seeking an experienced Administrative Support Coordinator to join our team at Wellington Medical Centre. As an Administrative Support Coordinator, you will provide administrative support to the Clinical Director and the PCN Manager in the Primary Care Network.

Key Responsibilities
  • Organize board meetings, including agenda preparation, attendance, and minute-taking in the absence of the PCN Manager.
  • Link with HR to ensure all Mandatory training is up to date for PCN staff.
  • Request training sheets from Service Level Agreement staff and update TeamNet.
  • Help move current training certificates across from PCN drive to Learn for saving against training dates for PCN staff.
  • Check Extended Access hours are in the comments box on TeamNet and that EA is covered before annual leave is approved.
  • Ensure staff working in same/similar roles have not requested the same days without prior authorization.
  • Update TeamNet with information directed by the management team in the PCN.
  • Update PCN staff directory when new starters are in post and disseminate to practice managers.
  • Liaise with HR as directed by management.
  • Manage the PCN drive online, updating folders where necessary.
  • Build and apply new administrative systems, such as record management.
  • Support with projects as directed by management.
  • Attend meetings and answer queries as directed by management.
  • Remind practices to share dates of PAT testing with PCN staff and ensure staff take electrical equipment and safety devices for checking.

Requirements
  • Proven record of excellent written and verbal communication skills and interpersonal skills.
  • Excellent organizational and admin skills.
  • Analytical skills and ability to interpret information and present it in a clear and concise manner.
  • Evidence of excellent knowledge and competence with Microsoft Office, whether email, word, presenting, spreadsheets.
  • IT literate with good typing skills.
  • Time management.
  • Customer service skills.
  • Able to work with a team, take direction from others, and work effectively.
  • Able to work effectively as part of a team.
  • Able to prioritize and manage own workload with minimal supervision.
  • Willingness to undergo further training and committed to own development.
  • Car user as travel between sites across the Taunton Deane West area will be required.

Desirable Qualifications and Experience
  • Business Administration Level 2 Certificate or NVQ2 equivalent.
  • Willing to work towards Business Management qualification.
  • Administration Experience.
  • Knowledge of the NHS/Primary Care/General Practice.
  • Able to demonstrate a clear understanding of working with confidential information and an understanding of service user confidentiality.
  • Experience of administrative duties.
