Administrative Support Assistant

We are seeking a highly organized and detail-oriented Administrative Support Assistant to join our team at Csa Environmental. As an integral part of our Office and Administration team, you will provide support to enable the smooth running of our busy Environmental consultancy practice.
As a key member of our team, you will work within and promote a positive and proactive working environment, providing support to our Ecology team with day-to-day tasks and administration of projects and records. You will also be responsible for preparing equipment for field surveys.
This is a part-time position, and flexible hours are available within normal working hours, Monday to Friday, 09:00.
Key Responsibilities- Office Administration
- Provide day-to-day office operational support and act as a linchpin for our busy team of consultants who may be working in the office, at home, or in the field.
- Primary duties include administration, handling and prioritizing incoming correspondence, coordinating communications (redirecting calls and emails and responding as necessary).
- Order and maintain office and ecology equipment and supplies as required.
- Provide support to staff in our Brighton office and be the link with HR and Payroll Coordinators in our Ashwell and Tewkesbury offices.
- Provide support to staff in our Brighton office in relation to Health and Safety procedures and audits and be the link with the Health and Safety Coordinator in our Tewkesbury office.
- As a member of our wider Administration team based in other offices, meet regularly on Teams or in person.
- General office coordination including maintaining and updating office and utility records and oversee any facilities requests.
- Other general office duties and support to ensure the smooth running of the team.
- Ecology/Ecologist Support
- Maintain fee correspondence files and update fee summaries where necessary.
- Organize accommodation for Ecologists as and when required.
- Data entry into Onesys Coretime, project and time management software (training given), including setting up new jobs and inputting outlays.
- Produce monthly project reports for invoicing, job reviews, and maintaining in-house fee tracking system to facilitate invoicing using the Onesys Coretime time management software (training given).
- Provide general administrative support to the team of ecologists in our Brighton office. Attend the weekly Ecology team meeting (Monday morning) and update the active jobs sheet.
- General Duties
- Adhere to company policies and procedures, and where necessary ensure compliance with regulations and ensure relevant communications are shared with the Brighton team.
- Facilitate effective communication within the office and serve as a point of contact for internal and external inquiries.
- To competently use Microsoft Office packages (Word, Excel, and Outlook) and other software to produce/maintain documents, spreadsheets, and databases.
We are looking for a friendly, conscientious, and enthusiastic individual with previous admin experience and good IT/computer skills. Ideally, you will live in the Brighton or Hove area and be able to walk or cycle to work or have access to public transport.
- Experience of working within a busy office environment
- Experience of working with Microsoft Office Suite
- Experience of working with computer software
- Previous administration experience (minimum 2 years)
- Ability to work on own initiative and as part of a team
- Excellent organizational, communication, and interpersonal skills
- Ability to multi-task and show a flexible approach to work
- Willingness to learn and take on new tasks
- Ability to work to deadlines
- Desire to raise standards in own work and have a positive can-do attitude
- Experience of working within a planning and/or environmental consultancy
- Experience of Onesys-Coretime
- Ability to use, or willingness to learn, web-based software
- Willingness to contribute towards supporting marketing and social media posts
- Proactive approach to finding and providing information
- Commitment to developing own skills
- GCSE grade C or above in English and Maths or equivalent
- NVQ 2 in Business Administration or equivalent
