Job Overview

The CHC Review Administration Specialist is tasked with delivering exceptional administrative support and secretarial services to the CHC & Retrospective Review Team. This role involves assisting the team leader and nurse assessors in the creation and enhancement of systems and processes that effectively support the team's operations.

Key Responsibilities

  • Serve as the primary point of contact for all inquiries. Utilize initiative and analytical skills to screen telephone calls and respond appropriately or direct them to the relevant manager.
  • Ensure that both external and internal information requests are managed professionally and in accordance with statutory guidelines. Use sound judgment to prioritize messages and actions for the appropriate staff members.
  • Cultivate and maintain effective working relationships with personnel at all levels, both within and outside the organization, including NHS and non-NHS entities across the healthcare landscape.
  • Communicate confidently and effectively with all staff, visitors, and external stakeholders, demonstrating tact, diplomacy, and sensitivity to various issues. Capable of assimilating, managing, and conveying a broad range of information to address inquiries accurately.
  • Exhibit an empathetic, tactful, and sensitive approach when dealing with complainants.
  • Display proficiency in written English, ensuring excellent grammar and spelling, while adhering to the formal communication standards of the retrospective review team.

Work Schedule

Job Duties

  • Deliver a professional, efficient, and comprehensive administrative support service to the CHC & Retrospective Review team, consistently demonstrating discretion, sensitivity, and confidentiality.
  • Manage highly sensitive and potentially contentious inquiries, ensuring proper documentation and handling.
  • Frequently address challenging inquiries from the public regarding NHS Funded Nursing Care and Continuing Healthcare.
  • Gather and compile information for audit and reporting purposes, including key performance indicators.
  • Monitor and verify data to maintain database accuracy in a timely manner.
  • Prioritize workload effectively to meet conflicting deadlines and manage unexpected interruptions.
  • Plan for known scenarios while remaining adaptable to re-prioritize tasks as needed.
  • Ensure high-quality word processing services are provided, utilizing Microsoft Office applications for correspondence, reports, emails, presentations, and spreadsheets, while adhering to corporate branding and standards.
  • Compile, prepare, and produce agendas, reports, and meeting papers as required, taking formal and informal minutes/action notes and distributing them appropriately.
  • Support the development and maintenance of an efficient office system that promotes a modern, paper-light environment through effective use of technology.
  • Ensure compliance with ICB policies and information governance standards in the recording and storage of files, data, and information.
  • Demonstrate flexibility in work patterns to accommodate varying workloads and deadlines.
  • Uphold confidentiality and sensitivity in all matters, maintaining the highest level of discretion.

Required Experience

  • Proven experience in a busy, complex environment with a track record of adaptability.
  • Experience handling inquiries from multiple agencies, including legal representatives.

Qualifications

  • Office administration and/or secretarial qualifications at RSA level 3 or equivalent experience.
  • Minimum of 5 GCSEs (or equivalent) including Maths and English at grade C or above.
  • ECDL or equivalent proficiency in IT applications.

Knowledge and Skills

  • Strong working knowledge of Microsoft Office applications, including Word, Outlook, PowerPoint, and Excel.
  • Excellent organizational, administrative, and time management skills, with the ability to respond quickly to changing requirements.
  • Ability to work independently without supervision, effectively organizing and prioritizing workloads to meet tight deadlines.
  • Proven ability to establish and maintain positive working relationships with individuals from diverse backgrounds.
