Job Summary

We are seeking a highly skilled Finance and Administration Manager to support the financial and administrative operations of Singapore Tourism Board's European Regional Offices. This role will involve managing finance, accounting, and budgeting for our offices in London, Frankfurt, and Brussels, as well as overseeing administrative and office operations.

Key Responsibilities
  • Financial Operations
    • Oversee all financial operations, including processing invoices and payments, performing financial functions and reporting, and verifying invoices and delivering timely payments to vendors and staff expense claims.
    • Reconcile monthly bank register reports, income and expenditure statements, and track team budget utilization.
    • Work closely with the STB headquarters Finance desk officer on financial matters.
  • Office and Administrative Operations
    • Oversee office leasing, cleaning, and other administrative contracts, including travel agency contracts and staff travel insurances.
    • Assist offices with financial procedures and tender processes, ensuring proper documentation and audit trail for transactions and procurements.
    • Liaise with STB headquarters for all IT-related work in the office.
    • Procure and maintain office and pantry supplies, and oversee the service delivery of vendors to ensure smooth office operations.
  • Training Coordinator and Knowledge Management
    • Manage overall staff training programs in coordination with STB Human Resources department and other relevant internal teams.
    • Manage information and knowledge retention using available digital tools.
    • Manage any internal and/or external audits, and staff welfare activities such as team retreats.
Requirements
  • At least 5 years of experience in Finance and Administration.
  • Good verbal and written communication skills.
  • Familiarity with accounting, bookkeeping, and office management.
  • Experience in contract management.
  • Organized, conscientious, and independent worker who can be flexible and adaptable to changes in environment.
  • Able to follow-up on tasks in a timely manner.
  • A strong team player who is collaborative in nature.
  • Enjoy building relationships with stakeholders (both internal and external).
  • Ability and willingness to travel to other European offices as necessary.
