**Job purpose**

The HR Systems and Data Manager is responsible for managing, maintaining and developing the HR / Payroll system (iTrent) and supporting technologies. A key emphasis is improving effectiveness, efficiency and the user experience while supporting the deliveryof accurate and timely management information to a variety of audiences.

The HR Systems and Data Manager will lead on the delivery and development of HR and payroll reporting to senior stakeholders, delivering a customer service approach whilst working across the University to ensure the HR systems and data support wider Universitystrategic objectives.

**Main duties and responsibilities**

**Systems Provision & Development**
- Manage the accuracy of all data entry through the various streams into iTrent against the daily usage requirements and University reporting needs, liaising with HR / Payroll and Knowledge and Digital Services (KDS) colleagues on data input and systemserrors.
- Operational management of the HR related systems including upgrades, access, links with other technical teams both vendor and internal to the University.
- Manage and maintain the University structure held in iTrent and take responsibility for the technical re-structure of the system as required to include terminating positions, liaising with managers, creating new position referencing, reporting lines andany costing allocation requirements.
- Manage the progressive roll out of new system functionality across the HR suite of technologies iTrent, iHR and the external recruitment site, to include user acceptance training (UAT) and build sign-off.
- Providing training to managers, establishing pilot groups as required for new functionality, arranging 1:1 or larger team workshops with demonstrations and producing relevant training materials both printed & e-based for the staff Intranet
- Management and development of the University's e-leave system, implemented through the Employee Self Service site, including tracking of holiday and associated absence events.
- Provide reports for external compliance bodies.
- Manage, maintain and develop the internal HR intranet pages.
- Oversee the administration of the Winchester Staff Benefits site (Reward Gateway).

**Reporting**
- Identify, develop and manage the maintenance of all reporting, using iTrent reports, Business Objects and Excel as necessary.
- Manage the preparation of the data content for annual returns / reporting commitments e.g. Staff HESA return, UCEA surveys, Freedom of Information requirements, drafting the internal staffing budgets data and ad-hoc requests.
- Provide accurate management information and returns to various external agencies
e.g. IT licences, UCEA salary surveys, Government and National Statistics requirements.
- Provide the annual HR Staffing Report data including statistical content, analysis and supporting commentary on trends, variations and also suggested presentation.
- Provide the annual leave accruals report & associated values to Finance & Planning.
- Provide required datasets towards the Financial year end accounts process.
- Provide various ad-hoc HR reports as requested by the Executive Leadership Team, Deans & Directors.
- Provide quarterly management reporting of staff sickness absence & monitor patterns.
- Provide monthly reporting on University staffing establishment & monitor changes.
- Provide reporting to R&I across Academic Role Profiles as required throughout the year and demographic data on various staffing datasets i.e. REF returned Unit of Assessments.
- Provide Recruitment & Payroll team with any reportable information as required.
- Create & Maintain iTrent User Defined Fields (UDFs) to support required reporting needs.
- Oversee the production of the starter, leaver and changes reports, distribute across agreed units and post listings on the staff intranet.

**Security & Upgrades**
- Manage the MHR service cloud to identify, log, progress and resolve system problems
- Attend required training events to maintain current software knowledge, including an awareness of up-coming software developments and to harbour good working relations with MHR and colleagues at other Higher Education Institutions.
- Manage the LDAP connection to the University's Active Directory for the creation of single sign-on / MFA user accounts for iTrent user/manager and iHR access.
- Manage upgrades, including implementing hot-fixes as required, of the iTrent Live, Test & Train environments, plus Business Objects at appropriate releases and in-line with any legslation change; forming strong working relationship with key colleaguesin KDS and the Payroll & Pensions Manager.
- Establish a strong working relationship to support the University's Information Compliance team and KDS colleagues with regard any suspected GDPR breach.
