We are currently seeking a Support Administrator to join a friendly and well-established team in Birmingham.

The purpose of the role is to work as directed by team manager to provide a wide range of administrative, secretarial, and front of house duties and to include P&P, as well as general office management support across the whole firm as part of a centralised team.

**Duties**:

- Using digital dictation software to produce audio typing of varying documents for various offices
- Provide cover on Reception to include all front of house duties, taking, transferring, and logging telephone calls, greeting visitors, organising meeting rooms and refreshment/lunch requirements and preparation thereof
- Updating telephone lists ensuring inhouse documentation is recorded accurately
- Collating and sending of mailshots via campaign monitor
- Recording office voice mail message for all office closures
- Monitoring stationery supplies within all meeting rooms and replenishing when needed
- Making valid contributions to adhoc inhouse projects as they arise
- Checking and correcting drafts to the required standard and within the agreed timescales with direction from fee earners
- Update/create meeting schedules and trip reports for fee earners for overseas trips
- Assist with the administration and organisation of the sector group meetings including minute taking, chasing action points and newsletter generation
- Processing of invoicing documents and making relevant adjustments
- Create and maintain excel spreadsheets and other internal databases
- Updating and amending HR policies
- Booking webinars, events, and conference rooms.
- Ordering taxis
- Creation of Guest wi-fi

About you:

- Excellent and accurate typing skills
- Skilled in the use of audio and digital dictations systems - e.g. Lexicon would be advantageous but training will also be provided.
- Good working knowledge of a computer-based telephone system
- Great telephone manner
- Fully competent in the use of Worksite and Outlook
- Fully competent in the use of MS Office to include Advanced Microsoft Word, Excel, Outlook, Powerpoint and Wordpress.
- Familiarity with Adobe/Nuance PDF would be advantageous
- A good standard of writing, grammar and vocabulary skills
- A good understanding of IP terminology associated with tasks in the role profile
- Broad knowledge of Progressor advantageous
- Understanding of the on-line filing patent systems
- Ability to work on own initiative, as well as part of a centralised team
- Forward thinking
- Good attention to detail
- Versatile
