Main purpose of the role

This is an exciting opportunity for someone who wants to grow in an internal recruitment position and there is room to take on higher levels of responsibility within the role for the right person.

Reports to: Resourcing Advisors and Resourcing Manager

Key relationships:

- Resourcing Advisors, Resourcing Manager, and Head of HR Operations.
- HR Operations team and wider Resourcing team.
- Hiring Managers - to arrange interviews etc.
- Regular contact with other business services staff, e.g. IT and Payroll regarding new starters.

Main Duties & Responsibilities:
Resourcing Team responsibilities:

- Producing internal and external correspondence and documents related to the recruitment process, as required e.g. offer paperwork and new joiner packs.
- Updating and maintaining the key documents utilised by the team e.g. on-boarding tracker, interview tracker and new starter checklists.
- Processing recruitment invoices, including agency fees and other recruitment related expenses.
- Inputting new starters and temporary joiners into the HR system (currently AX Dynamics, soon to be Workday) in a timely manner.
- Assisting with organising new joiner induction and integration processes, including arranging induction and on-boarding meetings.
- Meeting new starters on the day of their induction, taking copies of passports and producing payroll packs.
- Day to day co-ordination of pre-employment screening process, liaising with our outsourced suppliers.
- Dealing with routine telephone calls and approaches by agencies.
- Taking an active role in Resourcing and other projects as required.
- Assisting the other Resourcing Assistants as required on Business Services and Partner recruitment.
- Reporting key management information requirements, i.e. running reports on key metrics, including time to hire, agency performance and pipeline reports.
- Any other tasks as reasonably requested by the Recruitment Manager, Head of HR Operations or HR Director.

Operation Team responsibilities:

- Work as part of the team providing day to day operational support to the wider UK and International HR teams as required.
- Providing holiday cover and overflow support to all other members of the HR Operations team.
- Regularly review and input into maintenance and updating of HR Operational processes and checklists.
- Responsibility for helping to maintain and updated template documents and document management system.
- Participation in wider HR team projects, as required.

Person specification:
**Education / qualifications / experience**:

- Previous experience in a Recruitment/HR related role or experience of working in a legal or professional services experience is desirable but not essential.

**Knowledge and technical skills**:

- Excellent IT skills including Outlook, Microsoft Word, PowerPoint and Excel.
- Previous experience of multiple databases ideal but not essential.
- Willingness to use software packages that are unfamiliar.
- Ability to deal with highly confidential and sensitive HR issues.

**General skills**:

- Strong attention to detail.
- Excellent organisational skills.
- Excellent communication skills, both oral and written.
- Ability to work well under pressure and to strict deadlines and able to juggle a constant changing workload.
- Possesses a client-centred, "can do" attitude and displays flexibility in their approach to work.
- Is relationship focused and understands the importance of building networks both internally and externally.
- Uses initiative, thinks creatively.

**Other requirements**:

- Flexibility and a willingness to work additional hours on occasion as required.
