An opportunity has arisen within Cotswolds Integrated Community Teams (ICTs) for an Admin Team Lead.

The role of the Admin Lead is to plan, initiate, organise and implement the provision of administrative support for the service areas by providing performance and productivity information as well as using your own expertise to generate long term plans for the department and service area in agreement with business objectives, senior managers and reflecting performance from the team. In addition to this the role covers the management and supervision of administrative colleagues within the locality.

To work within an Integrated Community Team Locality. Plan, initiate, organise and implement the provision of administrative support for the service areas by providing performance and productivity information as well as using your own expertise to generate long term plans for the department and service area in agreement with business objectives, senior managers and reflecting performance from the team.

To manage and supervise administrative staff in the Locality.

To support the delivery of administrative support to the GP Networks ‘Place based’ Model of care.

To manage a team to deliver a comprehensive administration function to the service area ensuring that efficient, effective and consistent administrative and clerical standards and procedures are implemented and maintained across the service.

To ensure effective, efficient and consistent administration and support standards and processes are maintained within your team to support the delivery of excellent customer service

Professional and Personal Development

All staff must ensure that they are aware of their responsibilities by attending the Trust Mandatory Training and Induction programme.

All staff will have a formal appraisal with their manager at least every 12 months. Once performance/training objectives have been set, the staff member’s progress will be reviewed on a regular basis so that new objectives can be agreed and set, in order to maintain progress in the service delivery.

Those with management/supervisory responsibility are required to ensure that their direct reports have an appraisal in line with Trust policy.

All staff will be expected to take responsibility for their own professional development and will be supported by the Trust to achieve development opportunities as appropriate.

Manage on a daily basis the administrative support team ensuring that individuals have clear work programmes and objectives that are reviewed regularly. Ensure that work is delivered to the required standard by ensuring reporting mechanisms are developed and maintained by the team.

Ensure that you have in place clear plans to manage workloads and resources across the team. Ensure that these plans are enacted by training, monitoring and coaching your team to ensure that work is delivered to an excellent standard.

Develop and implement plans to deliver organisational change and efficiencies.

Ensure that staff performance is monitored in line with organisations policies and that work completed and outstanding is captured clearly and effectively.

Frequently review the service areas plans in line with actual performance and business changes and communicate with staff and senior managers to deliver revised plans.

Develop the skills of the administrative support team by capturing training needs and provide training and coaching directly or source this for the team securing funding alongside this. Review performance in conjunction with local and national guidelines

Ensure that changes are communicated to the teams, senior managers and support areas of the organisation in a clear, appropriate and timely fashion using a variety of means such as face to face meetings, workshops, creating newsletters or other written communications and leading and developing briefings.

Develop and maintain office systems to ensure the effective and smooth running of the office and to take personal responsibility for maintaining and seeking potential opportunities for improving standards.

Monitoring budgets and spend within your teams on staff and stationery to ensure that these are within budget, highlighting budgets impacted by the work of the administration area for instanc
