An exciting new opportunity has arisen for an experienced administrator to join the Team as a Project Management Office Administrator. You will have a keen interest in project work and have the ability to coordinate tasks and activities. This will include activities such as planning and organizing project meetings and engagement events, taking minutes and fulfilling other administrative tasks.

To provide admin support to the Programme and Transformation Office (PTO), including the Director of Partnerships

To liaise with other organisations, services and teams

To be the first point of contact for the PTO

To organize and co-ordinate tasks and activities as required

To be accountable for own actions, and manage own workload

Taking minutes of meetings, collating data, and entering them onto relevant systems, distributing according to agreed standards

To plan and organize own time, and to arrange time for others. Manage electronic and paper filing systems and plan meetings, workshops, and conferences

To provide information and advice to those contacting the PTO, to ensure the timely progression of actions

To support the production of presentations and formal papers, as required, adhering to PTO templates and proformas

To implement PTO administration policies, and develop local office procedures

Touch typing or audio typing

Communicate with the public and other stakeholders

To make orders through the appropriate systems

To exchange confidential, sensitive, or contentious information with stakeholders and staff (and at times patients or carers) which requires persuasive skills where agreement and cooperation is required

To make judgements involving facts or situations, some requiring analysis

To undertake surveys or audits, as necessary, to own work i.e. complete staff survey, complete basic audit proformas

To provide supervision and training to administration staff on lower grades, as required
