Flights & Visa Coordinator

You would be part of a small team and would be working with the head of this department to deal directly with our flights (group and individual), flight upgrades and deviations as well as dealing with our group visas.
This job description is split into three parts as follows:
**FLIGHTS**
- Obtaining new quotes, paying deposits and balances for group bookings
- Upgrades - Obtaining the quotes and liaising with the accounts team in order to process payments
- Liaising with gests regarding flight deviations and upgrades
- Working out and allocating land only costs
- Researching alternative routes with airlines in order to get the best possible route for a holiday
- Obtain deviations (regional flights & upgrades) for guests as and when required
- Obtain direct flights for guests
- Weekly check to ensure we have enough flight seats available for our groups and reporting to the head of the department if we need to get extra seats (this would also involve monitoring airlines websites to see how much direct flights would cost)
- Loading flights into our operating system
- Assist with putting together the necessary marketing material in order to maximise selling potential of our flight subsidiaries
- Researching all direct flight possibilities with low cost carriers and presenting this information in a clear and easy to read format for office staff
- Daily flight monitoring
- Passing over seating and special requests from our guests to the airlines
- Recording payments and receipts and liaising with accounts to match these up to bank payments
**VISAS**
- Ensure all visas, Estas etc. are processed in a timely manner
- Under guidance with the head of the department ensure as a company we know the process we need to follow with all country requirements
- Keep guest paperwork and visa forms up-to-date with relevant information
ASSIST WITH OFFICE DUTIES AS AND WHEN REQUIRED - this includes taking enquiry, payment and booking calls.
**ESSENTIAL SKILLS**
- A good patient telephone manner is required
- Attention to the smallest of details and ensure these are followed through.
- As a small company please be prepared to assist in some menial tasks as and when required i.e. brochure mailing, bin emptying etc.
Pay: £21,000.00-£24,000.00 per year

- GCSE or equivalent (preferred)
**Experience**:
- Customer service: 1 year (preferred)
- Administrative experience: 1 year (preferred)
