The post is for 37 hours per week, worked over 5 days during term-time, plus one
INSET day in September (38.2 weeks).
**THE POST: STUDENT SERVICES ATTENDANCE & ADMINISTRATION OFFICER**

**Reports to: Assistant Principal - Pastoral Care 11-16**
The Pastoral team are part of a wider student services provision within the school.
Student support within the school is delivered across three main hubs: the Behaviour
Room, an Inclusion Centre and a Student Services Centre (Pastoral). The
Behaviour Room supports students whose behaviour in school has fallen below expectations to develop appropriate behaviours for learning. The Inclusion Centre supports students who find school challenging and will create effective intervention programmes around individual social, physical, emotional and educational needs to allow students to learn to their optimum level. The Student Services Centre offers pastoral support to students during the school day and provides additional administrative support to the Behaviour and Inclusion teams.
The school has a Behaviour Policy to promote positive behaviour through supportive collaboration between staff, students, parents and carers this policy is now embedded in the day-to-day teaching and learning ethos within Fallibroome.
**Job Purpose**
This role would support the management of pupil attendance and provide administrative support to the student support roles.
**THE POST: STUDENT SERVICES ATTENDANCE & ADMINISTRATION OFFICER**
**MAIN RESPONSIBILITIES**
1 Ensuring that all attendance registers are accurate and following up on any missing data. This will involve going to classrooms and liaising with Form
Tutors and teaching staff.
2 Following up pupil absences and late arrivals by phone calls to parents/guardians to identify reasons and escalating as appropriate.
3 Monitoring punctuality and attendance. Liaising with form tutors, heads of year, Behaviour Team, Inclusion Teams, the Education Welfare Officer and parents.
4 Preparing reports on attendance for all groups of pupils
- sheets, photocopying, filing, minute-taking and collating reports.
6 Answering external and internal telephone calls, dealing with requests and enquiries. Receiving visitors to the Pastoral Support Centre via the main reception e.g. parents/carers, and visitors from external agencies.
7 Make daily phone calls to families of identified students, to establish reasons for absence
8 Coordinating signing in and out sheets for students, checking these against absences and taking responsibility for these sheets during fire drills.
9 Pastoral support, including first aid and supervision of pupils in the medical room.
10 Updating the first aid and incident logs on Smartlog.
11 Administrative and organisational support for all parents’ evenings.
12 Administrative and organisational support for all pastoral meetings.
13 Keeping minutes of meetings including those with other agencies and distributing these minutes as appropriate.
14 Keep records in accordance with the school’s record retention schedule and data protection law, ensuring information security and confidentiality at all times
15 Supporting the exams team with invigilation and Access Arrangements
16 Undertake personal professional development and respond to the changing needs of the job.
17 Actively safeguard and promote the welfare of children at all times.
18 Ensure that all activities undertaken are done so safely and to report any unsafe practices or conditions identified as soon as possible to a senior manager.
Notwithstanding the detail in this job description, the job holder will undertake such work as may be determined by the Headteacher/Governing Body from time to time, up to or at a level consistent with the main responsibilities of the job.
