**Purpose of the role**:
To provide administrative support to the Logistics team (Refuse Collection Vehicle division), building relationships with customers and colleagues to achieve our goals; delivering a great customer experience whilst balancing and supporting the needs of the business. To carry out a range of administrative tasks that will support the RCV team and wider business where applicable. To always operate in a safe manner, following the Company’s safety guidelines and procedures.

**Main role responsibilities**:
**Transport and Administration**
- Working with the Fleet Manager, ensure all vehicles are planned effectively, to meet MOT, service and repairs deadlines
- Liaise with Lead drivers and crew members daily regarding vehicle issues, and arrange any repairs in a timely manner (in conjunction with the Fleet Manager) to ensure productivity of the vehicle is maintained as much as possible
- Monitor the vehicle tracking system to ensure fleet optimisation, using the system to assist with route planning, driver monitoring and customer queries
- Ensure all work is planned and uploaded onto the system each day and sent to the drivers’ tablets and that any outstanding work has been carried over to the next day and reallocated
- Check RCV routes are kept in the correct order after changes have been made to customers’ requirements (e.g. school closures)
- Assist with the colleague rota (including agency workers where required), ensuring all vehicles are fully crewed for all collection routes
- Monitor timesheets to maximise productivity and comply with Working Time Directive regulations
- Check and consolidate daily paperwork, ensuring it’s passed for processing in a timely manner-Resequencing routes and allocating jobs across the collection routes
- Assist with the SLDC Bring site contract ensuring service standards are met

**Customer Service & Teamwork**
- Display a positive attitude to your work and be a proactive member of the team
- Communicate regularly with your line manager, and other relevant colleagues, if things have gone wrong and we may need to notify the customer(s)
- Be the first point of contact for customer queries, complaints and issues via crews on the ground, capturing all the details, finding a solution where you can, or passing promptly to the relevant person

**Health, Safety and Environment**
- Report any vehicle defects to include tyre repairs, safety hazards or problems to your Line Manager immediately, using Checked safe defect app and reporting of issues to various maintenance agents (Solway DAF, SLDC, Riverside, DTM) and recording of breakdowns
- Liaise with the Health and Safety team to conduct investigations into incidents, near-misses and accidents, using Safety Cloud for the logging of accidents, near misses, Job safety monitoring
- Understand the Customer Site Risk Assessment, conducting them when required, to IOSH Managing Safety level

**Qualifications / Experience**

Essential:
Experience in an administration role (ideally 1+ years)

Experience in using a variety of IT systems/databases

Flexible approach to working and good organisational skills

Confident communicator

Desirable:
NVQ Level 3 in Business Administration or Customer Service

Previous customer service experience, transport and waste industry

Experience of using the following:

- Elemos
- Masternaut tracking system or similar
- Checkedsafe defect system
