Temporary Coordinator (1-Year)
Corporate Affairs

The Bermuda Monetary Authority (Authority or BMA) is seeking the services of a qualified and experienced individual to work as a Coordinator in our Corporate Affairs Department. The successful applicant will be responsible for coordinating a wide range of departmental events/activities along with external panels/guest speaking/ events. Additionally, the incumbent will use their experience to work closely with the various departments across the Authority in creating and editing internal and external documents such as reports, newsletters, and press releases in a clear and concise manner.

**This is a key role for the Authority and the post-holder will be responsible for but not limited to**:

- Planning and executing events and panels
- Confirming event dates and collaborating with the team/stakeholders to establish event flow and layout
- Monitoring deadlines for invitation approval and distribution
- Receiving and tracking RSVPs from guests
- Coordinating audio/visual requirements, including in-house arrangements and external contracts
- Working closely and overseeing photographers, videographers, decorators, rental companies, musicians and other vendors as required
- Conducting on-site location walkthroughs with vendors
- Planning activities/creation of event day timelines, incorporating all activities and formalities
- Finalising event activities and formalities with the team
- Discussing directional signage and layout for event spaces, including rental needs
- Finalising guest counts and seating arrangements, considering special dietary requirements
- Assisting in ordering seating charts, escort cards and other printed items
- Overseeing vendor setup and making real-time adjustments as necessary
- Ensuring all event spaces are ready according to the timeline
- Supervising the registration area and assisting the welcome team
- Overseeing photography and videography to capture essential moments
- Supervising the breakdown of event spaces
- Addressing any post-event issues or concerns, including vendor contract breaches
- Contributing to communications and outreach initiatives, including communications planning and executing communications programs
- Working closely with the Director and other team members to support the Crisis Management Team

**This position requires a proven technical and business background. Therefore, the post holder must have**:

- A bachelor’s degree in marketing and communications or related discipline or equivalent professional experience
- Minimum of three (3) years of relevant experience in event planning and communications
- Proven experience planning and executing corporate events
- Excellent communication skills with the ability to effectively collaborate with team members and clients
- Ability to work well under pressure and meet tight deadlines
- Strong attention to detail and the ability to work independently while also accepting feedback and direction and demonstrated ownership and accountability for work
- Prior experience working in a fast-paced environment and managing multiple projects simultaneously
- Excellent oral and written communication skills, proactive communicator and problem-solver
- Attention to detail, self-starting abilities, quick, constant learning and the capacity to manage short-term and long-term deadlines and goals are essential
- Capability to work in a dynamic environment, including a demonstrated willingness to be flexible and adaptable to changing priorities
- Strong multi-tasking and organisational skills
