**Vacancy Overview**

Reporting to the Configuration Control Lead the Lead Document Controller is required to manage the Document Control Team & implement and manage processes relating to the Document Control and Management systems. Working within a dynamic and delivery focusedproject team in order to implement and control these systems, they must also manage/co-ordinate the day to day running of the team and ensure good relationships with external and internal stakeholders.

**Nature and Scope**

The Lead document controller provides management & direction to the Document Control Team who provide a documentation support service to the Investment Delivery Group Heads and Project Portfolio Manager (PPM).

**Primary Accountabilities**
- Holding weekly meetings with the doc control team to discuss working arrangements, weekly focus and any team issues
- Progressing documents and drawings to issued status
- Helping close out Engineering Changes (EC)
- Tracking priority documents and ensuring these are chased through the system
- Supporting Investment Delivery (ID) with AMS, DM Desktop and CDMS
- Reviewing documentation for Investment Delivery to ensure it is issued in a good time frame for the project
- Coordinating resource where required and recruiting new resource into the doc control team
- Liaising with station departments and also CTO interface meetings with the relevant departments

**Secondary Accountabilities (Doc Controller)**

- _Maintain, issue and distribute controlled copies of information, keeping up-to-date records of all information and ensuring that it is available to the Project Team._
- _Provision of advice and information to ensure team members are compliant with the document management system process and procedures and best practice is incorporated._
- _Liaison with a variety of stakeholders including the Project Team, Station Document Centre and third party Contractors with respect to issue of information and document storage._
- _Carry out conformance checks on document and drawings with regards to status and format in accordance with procedures._
- _Assist Project Managers in maintaining a compliant and organised document filing structure in both hard copy and electronic format._
- _Support to Project Managers in preparing documentation at close out of projects and documentation for archive in either hard copy or electronic format as required._
**Knowledge, Skills, Qualifications, Experience**

The individual should have a good understanding of electronic file types and the requirement for accurate document referencing.
