Facilities Administrator Position Overview
My client is looking for a Facilities Administrator responsible to the Materials & Procurement Manager for the coordination of all facilities maintenance activity for the site based in the Aberdeen area. The company is certified to ISO 9001, 14001 and 45001, therefore the company expects all employees to contribute to the effective implementation of its Integrated Management System.

Responsibilities include:

- Coordinate with Operations, QESH and Procurement for utilities, facilities or other activities that can affect operations, including building improvements.
- Provide a first point of contact for facilities issues raised, monitor the condition of the site, and report areas which require attention to the Materials & Procurement Manager.
- Working with the Materials & Procurement Manager to prioritise remedial works.
- Co-ordinating flawless execution of regular and ad-hoc facility and maintenance activities to ensure efficient service delivery with approved contractors.
- Managing contractors on site to ensure all work is carried out effectively and efficiently whilst conforming to QESH requirements at all times, including induction of contractors.
- Where remedial works are undertaken by contractors review and/or inspect their work for quality, accuracy, and completeness acting as a contact point.
- Ensure inspections are completed to meet all legislative requirements for health and safety compliance, including upkeep of relevant logbooks and maintenance schedule.
- Carry out maintenance activities on site as instructed by the Materials & Procurement Manager including:

- Conduct routine tests of the fire alarm system to an agreed programme, including coordinating annual inspection with contractor. Retain records of the tests.
- Office / workshop fitting activities (i.e.: hanging fixtures and fittings to walls, furniture assembly / office removals etc )
- Coordinate plant and equipment hire eg. contract lifts / wide loads ensuring all permits are in place and compliance with all QESH requirements, legislation and safe practices.
- Support with vehicle management ensuring all vehicles are roadworthy.
- Manage waste disposal, recycling, pest control and general landscaping activities.
- Operating and maintaining assets in a cost effective and non-impacted manner to maximise added value.
- Prepare reports, presentations or correspondence as required.
- All other duties as relevant to the post and deemed reasonable by the Company.
