We have an exciting opportunity for an Administrator to join our busy Community Paediatrics Administrative Team, which is part of Cambridgeshire Children’s Specialist Services.
You’ll become part of a passionate team of people, committed to providing the best care to our patients.
The team work across two bases in Cambridge and Huntingdon. The base of this post can be either of these locations although sometimes, travel between the two will be required.
The post holder must have administrative experience and will be involved in working as a member of the Admin Team to support clinical staff and provide a comprehensive, high quality, administrative service at all times.
You will undertake a variety of duties including answering a busy telephone line, dealing with day-to-day queries, updating patient information system (SystmOne), sorting incoming & outgoing post, completing work from a shared inbox, and audio typing, as well as other administrative tasks as required. This post will also provide cover for Reception as and when required.
A good understanding of SystmOne system (not essential as training will be given to those who have not worked on this system before).
A good knowledge of Microsoft Word / Office packages.
Good verbal and written communication skills.
Copy and Audio typing at a rate of between 40 to 60 words per minute, to type appointment & clinical letters, and child protection reports.
Support the Clinical Team in managing the referral process.
Maintain and update accurate patient records in accordance with the standard operating procedures.
The post holder will be expected to demonstrate flexibility in the role.

Main
**Responsibilities**:
To carry out a range of administrative and secretarial duties to support the community paediatric team using electronic patient management systems to register, process, check, update, and discharge patients.
Support the clinical team in managing the referral process for community paediatrics.
Type appointment letters, clinical letters, Child Protection reports using copy typing and audio typing.
Maintain and update accurate patient records is accordance with standard operating procedures including scanning, filing, audio and copy typing.
Respond to all queries, correspondence, and issues within department in relation to specialist services.
Support services in arranging and managing clinic rota’s and booking appointments for patients.
Support the management of the 18 week wait list, escalating any issues to line manager.
Prioritise and manage own workload.
Support the admin team leader in introducing changes to administrative systems in line with service modernisation and integration.
Support any audits required by the services relating to this department.
Produce information and data relating to the services relating to this department, as required.
Assist on reception or Single Point of Access (SPA) phone lines, if required.
Participate in administration meetings and share good practice amongst peers within the organisation.
Communication
Communicate effectively at all levels with parents/carers, colleagues, the general public and external agencies through various mediums of communication.
Answer queries from doctors, clinicians, and other staff, regarding clinics and patients.
Ensure clear and effective liaison with other agencies including, Education, Social Services and Police.
To fully understand and work in a manner that recognises the importance of confidentiality and the sensitive nature of the information that is being stored or shared.
Ensure that all information is disseminated to staff as appropriate.
Maintain links with other relevant administration staff to ensure support network and common systems of working are developed and when necessary, demonstrate/assist less experienced colleagues with tasks.
Assist with day-to-day queries into department.
Provide data and information for reports as required.
Provide narrative or description to data as required.
Contribute to CCS internal communication strategies ensuring effective two-way communication and engagement within the organisation.
Contribute to CCS external communication strategies to raise awareness and promote the reputation of CCS services.
Budgetary Responsibility
Order specialist equipment and consumables for services as required.
Receipt goods as required.
Liaise with central procurement team for routine orders.
Monitor use of consumables within own area and identify areas of saving and make changes as required.
