A new opening has arisen for a highly organised and efficient administrator, proficient at dealing with people and capable of working without supervision. For someone organised with a capable approach and calm demeanour, this vital role offers a variety of duties where you are responsible for administrative work, some routine financial tasks, maintenance of the school website and occasional HR data input and management.
Also including some Reception work, where the ability to interact appropriately with students is important, the role includes administrative (and sometimes practical) support for admissions, medical care, parents’ evenings, student induction etc.
**Duties will include**:
Reception & front desk duties including the following:
- Maintaining/updating computerised databases of student information
- Handling incoming enquiries and calls, and managing parental expectations
- Receiving visitors and notifying intended member(s) of staff
- Parent/student queries related to admissions, Free School Meals,
ParentPay and extra-curricular clubs.
- Being aware of GDPR protocols for security, accuracy and relevance of
information held and maintained
- Photocopy material for school use, including internal examination papers and
other booklets and leaflets as required.
- Ensure that the reprographics room is kept in a clean and tidy manner
ensuring that all Health and Safety regulations are adhered to.
- Organise service and repair of equipment by liaising with the service provider
from basic equipment maintenance to cleaning.
- Providing student support including dealing with lost property, loaning of
uniform, parental notifications and logging of phone confiscations
- To be responsible for maintaining/updating SIMS for in-house scheduled
appointments including music lessons and school counsellor appointments,
and communicating these to students and staff effectively
**Facilitating appropriate student medical care through**:
- first point of contact for dealing with minor ailments of students presenting
themselves at the school office for first aid/medical attention and logging
these accurately
- Supporting the office manager with the organisation of routine vaccinations
and other miscellaneous visits as requested by the Pastoral team
- Maintaining and updating student records and electronic files
- Managing students’ duplicate medical equipment/medication stored in the
office ensuring each are correctly labelled and stored, liaising with parents in
ensuring all medical equipment/medication is in date
- To provide administration support for a range of duties including but not
limited to:
- Whole school detentions, achievement letters, locker provision, general
communications to parents as requested. This will include communicating to
parents within the timeframes specified and liaising with SLT as required
- Assisting in the admin, support and resource production for routine and
special events including Information and Open Evenings, and occasionally
providing ‘front of house’ to such events
- Assisting in the admin, organisation and support for Parents Evenings and any
other events as deemed necessary.

a professional.

welfare is promoted
⮚ Enactment of Health and Safety requirements and initiatives as appropriate.
Other duties
⮚ Attend all training and events required as part of directed time
⮚ Contribute to the wider life of the school if required
⮚ Perform all other reasonable requests from the Headteacher and Office
Manager
⮚ Respect confidentiality at all times.
**Outcomes**
Coombe Wood School teaching and non-teaching staff will work closely together across many different areas of the school to ensure the best possible learning experiences for our students.
The Admin Assistant’s role helps the smooth and efficient running of the school to support raising student motivation, aspiration and achievement, improving behaviour and contributing to a wide range of school objectives within the School Development Plan (SDP).
