**Administrative Assistant - Temp to Potential 12 Month FTC**
**Monday - Friday, 9am-5pm (35 Hours Per Week)**
**Hybrid Working**
**£37,000 Per Annum**

**About the job**:
To provide pro-active, high-quality administrative support for the charity, including both internal and externally funded projects. Responsible for administrative tasks across the whole team associated with them.

**Main duties include, but not limited to**:

- Support the Project Manager for the contracted workstreams.
- Contribute to regular programme update meetings Liaise with Team members and project leads in relation to specific projects.
- Responsible for the administration of programme and project associated meetings - agreeing dates, setting up meetings, creating and distributing agendas, taking, and formatting minutes.
- Maintaining shared resources and being a link with internal teams in relation to communicating and sharing programme outputs for external communications, as agreed through the programme steering group.
- Manage and run adhoc programme related meetings and events including advertising, organising, running and managing the hospitality.
- Organising and smooth running of on-line meetings and linking with the digital team to organise any programme related webinars in collaboration with the Digital team.
- Responding to any other administrative requirements from across the organisation as required
- Assisting Professional Officers with guidance documents
- Working collaboratively with other departments and colleagues, as required
- Working with the companies Strategic Objectives in mind, in particular customer service
- Recognising Data Protection requirements within the role and working in accordance with the Data Protection Policy
- Undertaking other duties which may be appropriate within the areas of responsibility of the post
- Carrying out all duties in accordance with the policies and procedures of the company

**Experience and qualifications required**:

- Experience of working in an office environment
- Experience of preparing draft policy and guidance documents
- Experience of working confidently with data, investigating and analysing data sets
- Experience of survey design, analysis and collation of data
- Demonstrable computer literacy with advanced knowledge of MS Word, Excel, Powerpoint, Access and Outlook
- Understanding of data protection principles in relation to Member data
- Ability to take meeting notes and minutes
- Shorthand skills
- Excellent communication skills: clear, effective and confident in spoken communication
- High standard of written English, able to write clearly, logically, concisely and appropriately for the particular audience
- A strong awareness of the needs of customers, with the ability to build rapport and maintain effective relationships
- Ability to prioritise own workload to meet deadlines
- Ability to work as part of small team and able to demonstrate a pro-active, flexible, hands-on approach
