Admissions Officer

Reporting to the Head of Admissions, your role will be to effectively manage the admissions experience for UK and overseas students. Working within the framework of ‘The Admissions Policy’ and ‘The Admissions Strategy’ your aim is to meet the strategic needs of the school in terms of pupil numbers.
Salary depending on experience.
37.5 hours per week in term time (including one Saturday morning per month), 30 hours per week in school holidays. Flexibility required for events and travel, including some weekends.
**Responsibilities include, but are not limited to**:
- Receiving and responding to enquiries promptly, efficiently, and effectively, such that prospective families receive excellent customer service.
- Managing all data relating to prospective pupils on the school’s MIS to ensure accurate management and reporting.
- Working with the Admissions team on the planning and running of online & onsite events for prospective pupils and their families, including open days, information evenings and boarding promotions.
- Working with the Admissions team to arrange and facilitate onsite tours of school for prospective families and Education Agents, including liaising with relevant members of staff and the Leadership team to provide an excellent experience for all visitors.
- Arranging taster days, including organising academic assessments and interviews.
- Organising, and ensuring smooth administration of onsite & online interviews, onsite scholarship assessments, onsite & offsite entrance assessments, including recording outcomes of all assessments.
- Assisting the Head of Admissions to provide comprehensive information regarding prospective pupils to the Head of Trent and the Head of The Elms, in order for decisions on offers to be made in line with the school’s Admissions Policy.
- Managing the offer and acceptance process, including recording details on the school’s MIS.
- Working with relevant staff e.g. Finance, Medical, Learning Support, Teaching Staff, Heads of Year and Deputy Heads to provide detailed information in preparation for the arrival of new pupils.
- Providing excellent customer service and all relevant communication to confirmed new starters, including uniform, IT details, co-curricular opportunities and all next step events.
- Responsibility for data management is up to date and accurate to support tracking and reporting against agreed key performance indicators to provide insight on progress against targets.
- Assisting the Head of Admissions with the Scholarship award process for new and prospective pupils, including writing letters and logging decisions on the school’s MIS.
- Assisting the Head of Admissions and relevant teaching staff with all activities and administration to support the retention and transition of pupils in key year groups.
- Supporting preparation for any audits or inspections made by the school’s immigration lawyers or by the UK Visa & Immigration service.
- Supporting the running of the International Induction Week for new boarders arriving in September.
- Supporting any ad hoc external facing events as required by the Head of Admissions.
- Providing recommendations to the Head of Admissions and the Head of Marketing based upon insights from interactions with families.
**Person specification**:
Applications are welcomed from applicants who have a track record in working in people-facing roles, where personal presentation, impeccable customer service and excellent verbal and written communication skills have been clearly demonstrated.
You should excel at building and maintaining relationships with people, both internally and externally. You will be able to show attention to detail at all times.
The role will require you to prioritise and manage your own workload, as well as working collaboratively and flexibly in a team to react to changing needs. You will be used to managing your time effectively and working to deadlines in a fast-paced environment.
