Purchasing & Inventory Coordinator

**Position Summary**
The procurement and inventory coordinator will report to our Inventory Manager and assume the responsibility of procuring goods from both US and Far East vendors to uphold inventory levels at our third-party logistics provider (3PL). This role involves careful consideration of current stock, forecasts, demand fluctuations, and lead times to minimize back-orders. Additionally, you will manage and update shipping-related pricing, address price inquiries with our shipper and/or 3PL, and periodically benchmark shipping costs to ensure optimal pricing and service.
Your duties will extend to recording, monitoring, and communicating any product modifications, such as changes in carton quantities or product updates. Furthermore, you will compile and distribute the weekly backorder report, make necessary stock adjustments, establish and maintain product records in our ERP system, and provide cross-departmental coverage during holidays and sickness periods.
**Primary Responsibilities**
- Analyse stock on hand alongside forecasts, lead time and sales data to make purchasing decisions for products supplied from the US and Far east vendors, planning for increased/decreased periods of demands throughout the year.
- Pro-actively engage with suppliers to place orders and optimize container shipments ensuring timely departures aligned with the schedules you provide. Establish effective communication channels to address any deviations or challenges, maintaining a streamlined supply chain.
- Update and maintain all shippers pricing on a fortnightly/monthly basis within a master sheet and communicate these to management.
- Approve all shipment invoices once received and liaise with our shippers/3PL to resolve queries.
- Responsible for obtaining prices from shippers for benchmarking of freight costs to ensure we’re receiving the best prices/service.
- Update and maintain the monitored changes and communicate to our 3PL and internally any changes that are going to occur.
- Compile and circulate the weekly backorder report company wide.
- Make stock adjustments in line with our 3PL.
- Setup and maintain all products within our ERP and ensure data accuracy.
- Cross-departmental cover for holidays and absences i.e., ordering from both the US and Far East vendors, shipping schedule updates, receipting of stock.
