Workshop Administrator

Manheim Vehicle Solutions is an evolving business, supporting customer de-fleet and handover services. Working in the mechanical workshop context of work will vary from supporting our PDI/ warranty department, working with our workshop team to manage the workshop loading, keeping customer service team up to date, for all mechanical/ warranty repairs. As vehicles are continuously developing, the work we undertake is constantly changing, therefore training will be provided to keep up to date on all manufacturer developments.
Team members are responsible for ensuring all customer defined requirements are delivered, ensuring operational and customer service excellence is achieved.
**Scope of Role**:
Your primary responsibility will be providing updates to our customer service team with daily updates on vehicles progress, while working closely with our workshop team assisting with over aged/ urgent vehicles.
You will be responsible for assisting the Workshop Controller with coordinating the daily workshop schedule and associated activities and send updates on jobs to all teams concerned. You are the centre point of contact for all departments.
**Objectives for Role**:
- Ensuring that service/inspection paperwork is complete and accurate.
- Signing off job cards and carrying out checks to make sure they are to the manufacturer’s warranty audit standard
- Complete ad hoc administrative tasks as directed by the manager, which may include tasks related to other departments.
- Comply with all health and safety procedures as directed by the business owner/managing director.
- Deliver work on time and to a high standard, managing individual workload, focusing on own efficiencies, and prioritising tasks to be achieved.
- Organising the administration of vehicle preparation checks ready for practical completion with our trained technicians.
- Liaising with our ‘Front of house team’ to prioritise work requirements.
- Ensuring the highest standard of courtesy and integrity when interacting with colleagues and partners
- Able to work as part of a team to ensure successful delivery of the demands of the department.
- Strong time management and organisational skills with the ability to work under pressure to tight deadlines, prioritising workload.
- Assign work to workshop areas giving direction and instructions to different departments.
- Offer direction, guidance and support for business areas when needed.
**Skills, Knowledge and Experience**:
- Must have a full UK driving Licence and held licence for a minimum of 12 months.
- Good Oral and written communication skills communicating effectively with colleagues and giving clear instructions where appropriate.
- Able to demonstrate good time management with the ability to prioritise the workload and work to deadlines.
- Able to cope well under pressure in a very busy atmosphere whilst ensuring attention to detail is always maintained.
- Understand and be able to use manufacturer supported systems.
- Experience of working within rigid regulations and procedures
- Experience within a customer facing role with the ability to resolve customer queries and complaints to a mutual satisfaction.
- Excellent customer service skills
- Strong administration skills
- A keen eye for detail and accurate data entry skills
- Excellent interpersonal and communication skills both verbal and written.
- Able to use your initiative and be flexible, reacting to change quickly and effectively.
- Able to work as part of a team liaising with other departments to provide a seamless service.
