Job Description

ROLE
- Day-to-day management of local administration and logistics at the Fugro Academy Training Centre in Plymouth (FATC (P)).
- Supporting Fugro Academy training activities and staff assigned to deliver them at the FATC (P).
- Supporting the coordination, development, documentation and implementation of technical competencies within the Global Competence Management System.
- This role requires resilience and adaptability to changes as this is a diverse portfolio.
- Ensuring the safety and welfare of all course attendees.

1.Primary

**Responsibilities**:

- Responsible for sourcing and obtaining necessary materials, spares, tools or items required by the FATC (P). This includes obtaining quotes, adding Suppliers/Vendors to the purchasing system, generating Purchase Orders and submitting invoices for payment.
- Responsible for arranging and maintaining the necessary permits/licenses required by the FATC (P) (e.g. MMO permits, The Crown Estate Seabed License, etc) and liaising with relevant Governmental Agencies (e.g. Valuation Office Agency).
- Responsible for local travel and accommodation arrangements and bookings, as required by visiting staff or Course Attendees. This includes liaison with the relevant suppliers in the event of any issues/problems arising.
- Responsible for supporting the maintenance and upkeep of the FATC (P) and associated resources, ensuring that these are in safe/good working order and fit for designated purpose. This includes procurement, selection and supervision of contractors performing work within the FATC (P) (e.g. electricians, plumbers, etc).
- Responsible for the day-to-day welfare needs of the FATC (P). This includes, but is not limited to arranging meals, beverages and various housekeeping or sanitary needs like toilet paper, hand soap, dishwashing chemicals, etc and overseeing that garbage is correctly managed and disposed of.
- Responsible for ensuring maintenance, regular servicing and cleaning and upkeep of the FATC (P) coffee machine and water cooler.
- Responsible for car parking management of vehicles associated with and the car parking bays allocated to the FATC (P).
- Responsible for reception duties, including the receipt and/or dispatch of any packages (including ensuring correct packaging, labelling and addressing).
- Relevant administration duties to support the coordination, development, documentation and implementation of technical competencies within the Global Competence Management System.
- Other tasks as assigned by the Training Centre Manager.
- Supporting the development and welfare needs of delegates on courses and at the Training Centre.
- Undertaking own continuing professional development in discussion and agreement with their line manager.
- Identifying personal training needs, bringing them to the attention of their line manager and taking full advantage of the training opportunities provided.
- Ensuring that all activities are carried out with the highest regard to the health and safety of all involved and to the protection of the environment and prevention of pollution.
- Ensuring that all work is undertaken to the highest quality and professionalism in accordance with the company Integrated Management System and project specific documentation.
- Regularly reviewing work processes to ensure that best practice has been adopted, and assisting with development and updating of operational, QHSSE and site documentation as required.
- Ensuring the maintenance of training material data security and integrity before, during and after training processes and ensuring appropriate archiving.
- Other tasks as assigned by the Global Competence Manager.

2.Key Skills and Requirements
- Minimum of Level 3 Certificate/Award in a relevant discipline or relevant military training and experience
- Good communication skills (oral & written) in English.
- Excellent Microsoft Office skills.
- Resilience and adaptability, with a proven ability to work as part of a small team and independently.
- Willingness to learn new skills appropriate to the position.
