To provide clerical, administration and reception support to the Diabetes Centre alongside supporting the Diabetes Service Line Clinical Director / Diabetes Lead Nurse. Manages the pump and Dexcom purchasing and invoice payments, a growing caseload. Supports the diabetes team in the completion of national audits.

**Preference will be given to internal Trust staff, as well as ‘Priority’ and 'At Risk' status including NHS At Risk staff throughout Devon who are able to display recent relevant experience as dictated by the Person Specification.**

This post is part of a professional multi-skilled team working within the Diabetes Centre. The key

responsibilities of this role are the efficient administration with strict adherence and compliance to the Trust Access Policy.

Provide secretarial support to the Service Line Clinical Director.

Assist in the completion of national audit and patient audits concerning areas of service improvements.

Ensures the smooth daily running of the diabetes service, receiving referrals, supervising PTLs and activity. Reporting concerns and liaising closely with bookings teams to improve service delivery.

Supervise and provide cover for the Band 2 (clerical, administrative and reception support).

Also manage the purchasing and upgrades of Insulin pumps and Dexcoms, to use excel spreadsheets and numbers when dealing with this growing workload, ensuring all information is correct and crosschecked so all patients receive orders on time. To report concerns to senior nurse and finance and procurement teams.

**Secretarial Support**:

- To provide comprehensive and efficient secretarial and personal assistant for the Service Line Clinical Director and nursing staff within department to a high standard
- Assist in ordering and maintain stationary stock, office equipment and other physical assets as required
- Undertake any other appropriate duties as may be delegated from time to time
- Coordinate the Centre’s room allocation for clinics ensuring the best utilisation of the space available at all times
- Coordinate bookings for community diabetes education programmes liaising with multiple practice nurses in the locality
- Manages the agenda and minute keeping for Diabetes meetings including Service Line Meeting, Governance Meeting and Safe Use of Insulin
- Ensure that a firm understanding is obtained of Trust Waiting List & Access policies and be able to work to this guidance
- To manage a challenging caseload of pump users ensuring patients receive appropriate appointments, order new equipment, receipt invoices and monitor upgrades
- Supervise and ensure recording of Telephone Clinics completed in a timely manner
- Process and update Diabetes Audit Systems such as referral audit, gestational audit, national pregnancy in diabetes and national inpatient diabetes audit to allow contributions to national audits
- To ensure that a clear understanding is obtained surrounding Data Quality, Data Protection and Patient Information Management System. (IPM) and be able to work within these guidelines at all times and support and supervise other junior staff
- To ensure that an individual Performance Review is obtained from the Clinical Administration Manager on an annual basis. Support mangers in the induction and training and supervision of new staff
- To assist in informal training by showing other members of staff, locums or NVQ students the job as requested.
